The Department Coordinator supports the Specialists and departments in daily tasks, overseeing the administrative requirements of the departments and their sales. The Department Coordinator will work with two departments, Native American Art and American Historical Ephemera and Early Photography, to ensure all aspects of the consignment process are done in an efficient and effective manner. This includes but is not limited to consignor communications, property management, issuing contracts, listings, and settlements, and auction preparation. Passionately supports the Freeman’s | Hindman brand in daily interactions with clients and Freeman’s | Hindman team members. Follow the five principles of the client interaction guidelines in all communication.
Key responsibilities:
  • Act as the gatekeeper for assigned departments, owning all of the administrative components for the assigned auctions
  • Build rapport and manage the department-specific clients through the consignment process from the initial contract through the sale of property 
  • Assist in the coordination of client property prior to arriving, open packages upon arrival, inventory and tag property, update property records in the inventory system, confirm receipt of property receipt with client
  • Ensure all consignor paperwork is received, up-to-date, and has been properly entered into appropriate databases
  • Communicate final estimates, suggested reserves, chargebacks, and name designation to consignors and enter this information into appropriate databases
  • Answer consignor and client inquiries; resolve consignor and client concerns
  • Assist Trusts, Estates and Private Client Group and Marketing departments to make sure all marketing/catalogue production/photography contractual obligations are met
  • Maintain general department interest lists and interest lists for specific lots for upcoming sales
  • Coordinate condition reports and other administrative tasks pre sale
  • Assist in day-of auction assignments for assigned departments and other departments of the firm
  • Oversee the successful completion/close of consignments including notifying clients of sale results, alerting consignors of unsold property, updating records in database system, confirming settlement letters
  • Designate unsold objects to either future sales or guide the client through the steps of the return process
  • Given the global nature of our business, may work outside of normal business hours or across departments (e.g., with Accounting or Operations) to assist clients with particular needs
Potential candidate will possess:
  • Bachelor’s degree in art history or related field preferred
  • Minimum of 2-3 years’ administrative or customer service work experience, especially in the auction and/or arts field
  • Motivated to work in an exciting, fast-paced company
  • Superior client service skills; strong sense of professionalism and discretion
  • Excellent communication and interpersonal skills
  • Superior organizational skills
  • Strong follow-up skills, attention to detail, and ability to multi-task
  • Able to work under pressure and prioritize to meet strict deadlines
  • Proficiency in Microsoft Office applications, e.g., Word and Excel
