Program Services Coordinator II

Administrative Services Organization (ASO)

Starting Salary : $53,000 - $58,000

MAJOR FUNCTION Performs a variety of advanced administrative, fiscal, and programmatic duties associated with the Administrative Services Organization (ASO). MAJOR DUTIES

NOTE : The following duties are illustrative and not exhaustive. The omission of specific statements of duties does not exclude them from the position if the work is similar, related, or a logical assignment to the position.

Depending on assigned area of responsibility, incumbents in the position may perform some or all of the activities described below.

  • Manages the ASO provider network of traditional and non-traditional service providers.
  • Adds new providers to the network, ensures compliance with tax and credential requirements, and conducts primary source verification of credentials.
  • Manages network service provider credentialing system including routine reviews and updates to provider records.
  • Coordinates an annual ASO provider resource fair for ASO providers and case management programs.
  • Reviews service requests submitted by case managers to the ASO, checks for quality and compliance with ASO procedures and business rules, and routes for processing.
  • Coordinates credit card purchases and emergency shelter authorizations for participants.
  • Responds to case manager inquiries to update service requests and processes service authorization amendments.
  • Prepares participant reports for programmatic monitoring site visits.
  • Participates in quality management activities including administration of stakeholder surveys.
  • Provides training, consultation, and technical assistance to ASO users.
  • Responds to internal and external customer inquiries and follows up on open issues.
  • Reviews existing procedures for compliance and formulates new procedures if required.
  • Assists in the development, testing, functionality, and training for the current and new ASO web-based systems.
  • Ensures compliance with ASO policies and procedures and fiscal documentation requirements.
  • Provides back-up to core functions of the ASO as needed.
  • Receives, formulates, and executes special projects and assignments and performs other related duties as required.
  • May be required to deliver brief presentations to the public.

  • Ability to successfully lead projects while adhering to timelines.
  • Skilled in using Microsoft Excel, Word, Outlook, and PowerPoint.
  • Excellent written, oral, and interpersonal communication skills.
  • Skilled in public speaking and presentations.
  • Strong customer service skills.
  • Ability to handle restricted, sensitive, and confidential information.
  • Ability to establish and maintain effective working relationships with others within and outside the organization.
  • Ability to serve the public and represent the Children’s Board with courtesy and professionalism.

MINIMUM QUALIFICATIONS

Graduation from an accredited college of university bachelor’s degree in social or behavioral sciences, business administration, or a related field and two (2) years of relevant experience.
