Highland Brewing Company is Hiring a Venue Coordinator Near Asheville, NC
Job Title: Venue Coordinator
FLSA Status: Full-Time Hourly (30 hours weekly)
Reports to: Private Events Manager
SUMMARY DESCRIPTION:
This position will focus on coordination and event-day management in our private event facilities, the Event Center, Rooftop Bar and Barrel Room. The Events Department at Highland Brewing Company (HBC) is growing with 3 private event venues at the brewery. HBC will host over 300 private events in 2023, most of which are scheduled on nights and weekends. The Venue Coordinator position serves as a liaison between the HBC event day team which includes bar leads, bartenders, audio visual staff and the private party client together with the client’s hired vendors, hired event coordinator, etc. This position will focus on event day execution of contract obligations as they pertain to Highland’s private venues with a high level of guest service, problem solving, time management and event day team support.
ESSENTIAL JOB FUNCTIONS:
Demonstrated ability to execute and manage events with the ability to anticipate guest needs proactively and conscientiously.
Meet vendors (i.e. caterers, florists, rental companies, etc.) and clients prior to the event start time to ensure the BEO is correct and expectations for both the guest and HBC are met to ensure a successful event.
Facilitating some planning with clients and internal HBC departments to ensure the contract obligations are met and the guest expectation is exceeded.
Set up and tear down of event furniture and rentals. The floorplans will be determined in advance and communicated to the events team in a Banquet Event Order (BEO).
Maintaining the appearance of HBC’s private event venues during events which may include moving tables, bussing tables, cleaning glassware, serving beverages, stocking coolers, etc.
Updating BEOs as necessary to facilitate accurate event logistics and team communication.
Delivering final event settlement to private event clients including rental fee and beverage charges.
Creating event recaps to report back to the Private Events Manager any venue related issues or third- party vendor follow up items.
Performing tours in the Event Center for prospective clients, returning clients, or vendors to facilitate event planning. Tours will be scheduled by the Private Events Manager or Venue Coordinator.
Assist Private Events Manager with creating event-related print materials, media management, social media, gathering event data, performing market research, creating floorplans and BEOs for events as needed.
Maintaining a working knowledge of North Carolina alcohol laws and policies regarding HBC permits and policies with both private events and HBC branded events and adhering to the law during events.
Maintaining working knowledge of the HBC brand, our beer styles, family history and leadership to educate and communicate our story to private event clients and guests.
Must be self-motivated with calm demeanor under pressure.
Performs other duties as needed and assigned.
QUALIFICATIONS:
Education:
High school diploma or equivalent
Must be at least 21 years of age in accordance with NC ABC laws
Experience:
Two years event planning and execution experience in the hospitality field preferred. Enthusiasm for delivering an incredible guest experience is a must
Experience with weddings and wedding- related events is ideal. Enthusiasm for weddings is a must!
Experience with social media or media management is a plus.

Working Conditions:
Willingness work events on weekends and evenings is required.
Ability to lift up to 50lbs is required and stand on your feet for long periods of time.
Must have reliable transportation and a valid driver’s license.
Anticipated work schedule would include 40 hours weekly with 25-30 hours per week of event day execution and 10-15 hours per week administrative planning time.
At-Will Employment: Employment with Highland Brewing Co. may be terminated by either Highland or the employee at any time with or without cause or notice.
