Northern California Institute for Research and Education is Hiring a Staff Research Associate III Near San Francisco, CA

Position Definition:
The Staff Research Associate III (PREPARE Content Manager) will be the lead project manager for all educational content for the PREPARE for Your Care program, an easy-to-use, online, secure, advance care planning (ACP) program that uses video stories and easy-to-read advance directives to help people make medical decisions. The program also includes easy-to-read advance directives for all 50 states in multiple languages. They will report to and work directly with the UCSF Principal Investigator (PI). The PI's research focuses on aging, health literacy, health disparities, developing and testing tools to facilitate health communication and informed medical decision making, especially for historically marginalized older adults. The PREPARE Content Manager will also work and collaborate with other members of team on a series of grants and projects related to PREPARE.
Under the supervision of the PI, the PREPARE Content Manager will be responsible for various programmatic and operational functions and communication efforts across a broad range of projects related to advance care planning and the PREPARE suite of materials for patients, caregivers, and healthcare providers. They will work closely with several contractors and collaborators, including the PREPARE website developer, certified translations companies, videographers, and other contractors. They will be responsible for project management and moving projects related to PREPARE content forward. This work involves collating and tracking data, keeping key study team members, collaborators, and contractors informed, and moving projects forward to meet key deadlines. They will be responsible for creating scopes of work and submitting purchase orders through NCIRE and through UCSF for the PREPARE content contractors. In addition, they will be responsible for coordinating the translation of our materials in all languages and will also be translating and checking the translations in Spanish. They will apply standard health literacy principles to ensure all content is written at the 5th-grade reading level and is culturally adapted for diverse populations. This will involve conducting focus groups and pilot testing of new material and translating user feedback into updated content.
The PREPARE Content Manager will also be responsible for working directly with our website contractor on all content updates, additions, and refinements, as well as marketing and public-facing content. They will also be responsible for leading all content and video-based projects, including creating story boards and actor scripts, actor selection, on-site video production assistance, reviewing video edited drafts, copy editing and reviewing all materials, and conducting pilot and user testing. The PREPARE Contents Manager will also provide Spanish translations and other projects related to the overall success of the PREPARE program. They will also lead yearly (and more often as needed) collaborations with UC Law San Francisco to review each US state's updated advance directive law and translate those laws to 5th-grade reading level content for the PREPARE national advance directives. With this work, the PREPARE Content Manager will then coordinate updated translations and publishing of all the advance directives for all 50 states and work closely with our website developer to ensure they are made available to the public.
The PREPARE Contents Manager will additionally perform administrative tasks including coordinating meetings, setting agendas, taking notes, maintaining documents/files, ordering project supplies, submitting expense reports, as well as coordinating training materials and updating Standing Operating Procedures (SOPs).

We are looking for a highly motivated candidate who is passionate about improving health outcomes in older adults, with a specific interest and expertise in Spanish-speaking older adults and health literacy. The ideal candidate is a problem solver who will be able to troubleshoot issues with limited supervision, be highly resourceful, and be able to juggle multiple projects at any given time. Essential Functions:
  • Lead/coordinate projects related to the PREPARE website including analyzing user feedback, communicating with health liaisons, coordinating website narration, organizing files/content, and working with stakeholders on website enhancements/revisions.
  • Lead the PREPARE videos and Advance Directives legal projects (collate/track user feedback, coordinate translations, review/edit contents, organize files, create and manage workflows (especially using Smartsheet/Kanban work breakdown structure), liaise with stakeholders, lead meetings and create/track deliverables.
  • Work with team and stakeholders/vendors/consultants (including setting agendas and taking minutes).
  • Oversee PREPARE coordinating copyrights and trademarks.
  • Work with team members to create and edit training plans, workflows, and/or Standard Operating Procedures (SOPs).
  • Support the PI in manuscript/publications/presentation preparations (e.g., EndNote for papers). May perform literature reviews to add substantially to survey designs, and manuscript and grant applications.
  • Coordinate or perform translation functions (e.g., seek out and establish contracts with vendors, and/or reviews/copy edit PREPARE materials in Spanish).
  • Complete requisition orders and reimbursement requests and may oversee participant remuneration processes.
  • Assist with general office tasks, where needed, related to project operations (e.g., order printer paper, manage calendars for shared spaces, order and manage supplies, submit work orders, etc.)
  • Assist team with onboarding of new hires where necessary.
  • Maintain regulatory documents; monitor timelines for research or QI data submission; document adverse events and submit to appropriate departments.
Job Requirements:
  • BA/BS in a related science or an equivalent combination of education and experience.
  • Fluent in written and spoken Spanish.
  • Experience with educational content development and health literacy principles.
  • Experience with user testing of educational materials and qualitative analysis.
  • Knowledge and experience with MS Suite, Google Docs, Dropbox,
  • Box, and presentation software (e.g., Excel, Word, and PowerPoint).
  • Knowledge and experience with Smartsheet and Kanban work breakdown structures and/or other project management software.
  • Strong attention to detail; excellent organizational skills; excellent interpersonal skills; excellent, effective verbal and written communication skills to coordinate with subjects, team members, other Departments, and outside institutions; and the ability to multi-task in a fast-paced environment while working with a diverse subject population.
  • Ability to work well as part of a team, complete projects in a timely manner, and prioritize multiple projects to ensure the completion of essential tasks by deadlines. Strong accuracy and attention to detail.
Preferred Qualifications:
  • Previous experience working at UCSF, NCIRE, or another comparable academic/research setting.
  • Efficient in REDCap and relevant research software.
  • Master's degree (such as MPH) in a related science or an equivalent combination of education and experience.
Working Conditions/Environment:
The work environment is a clinical research office. It may include minor annoyances such as noise, temperature variations, etc. Furthermore, in compliance with local/state/federal health orders, work may be conducted remotely. The incumbent may be required to sustain standing and seated postures and to use a computer keyboard and display monitor for prolonged periods.
The base salary range for this position is $66,560.00 - $93,059.20 per year. The base salary actually offered to a successful candidate will take into account various relevant and non-discriminatory business factors including, without limitation, the candidate's geographic location, job-related experience, knowledge, and skills, and education, as well as internal equity considerations. A successful candidate may also be eligible to earn additional compensation including bonuses.
