The primary purpose of the Warehouse Coordinator role is to manage incoming donations and purchases and outgoing donations and ensures warehouse systems maximize the distribution of inventory. With an emphasis on donation, coordination, inventory flow, and spatial organization, this position’s primary objective centers on streamlining Helping Mamas donation avenues and equipment processing programs to support distribution to agencies and clients. Additionally, this role oversees Helping Mamas physical warehouse spaces.

Essential Functions & Primary Duties

• Develop and implement warehouse processes and procedures
• Optimize warehouse space to accommodate large shipments, bulk donations, collection sites, and drives
• Maintain the flow of incoming and outgoing single item and bulk donations by supporting established and flexible receivable strategies. Includes creating and leading the execution of warehouse organization strategies.
• Coordinate with collection sites, bulk partners, and other third-party donors to maximize flow of donations and distributions. Work with HM team to coordinate and maximize incoming drive donations.
• Oversee coordination of van schedule and perform weekly pick-ups, drop-offs, as well as bulk transport and other errands as needed.
• Operate pallet jack to load and unload deliveries, and organize pallets
• Manage company vehicle upkeep.
• Work with Donation and Logistics Lead to strategize and develop new systems to support the development and growth of warehouse programs.
• Ensure warehouse and workshop space are free of hazards, organized and appropriately stocked prior to volunteer shifts with available items.
• Oversee bulk distribution programs, including cultivating bulk partner relationships and coordinating preparation and pick-up logistics
• Develop new bulk distribution strategies, including mobile deliveries and pop-up distribution sites
• Keep data records for incoming and outgoing in-kind donations
• Track client data
• Manage grants tracker
• Assist with partner agency pick up as needed
• Manage inventory tracking

Qualifications Required 

• High School Diploma
• Valid Tennessee Driver’s License
• 3 years of warehouse experience
• Outstanding customer service and interpersonal skills. Must have a track record of developing and maintaining strong working relationships among diverse groups of stakeholders.
• Strong communication skills, both written and verbal.
• Proven ability to work successfully in a dynamic, collaborative, team-oriented organization
• Highly motivated, resourceful, and flexible.
• Solid organizational skills. Must be able to demonstrate strong system efficiencies and space management skills.
• Attention to detail, quality, timeliness, and accuracy of production with an emphasis on safety.
