Job Summary:

The Project Administrator will be responsible for providing Smartsheet subject matter expertise and execution support to support for various transformational initiatives, in addition to supporting various Project Management Office (PMO) and Integration Management Office (IMO) governance activities . As part of the Business Transformation team, this role is crucial to providing operational support and driving standard processes for enterprise implementations. This role reports to the Senior Project Manager.

Duties/Responsibilities:

  • Estimated 50% allocation dedicated to Smartsheet Administrative duties and estimated 50% allocation dedicated to PMO/IMO governance support duties.
  • Smartsheet subject matter expert providing thought leadership and execution expertise to process flows, dashboards and tools to support PMO/IMO and functional department needs.
  • Manages maintenance of existing dashboards, reporting and Transformation Office Portal.
  • Oversees administrative needs of transformation projects to support overall governance and effective performance management.
  • Partners in supporting organizational change management strategy development and facilitation.
  • Maintains PMO templates.
  • Maintains KPI templates, monitors status and supports tracking needs.
  • Monitors project plans for governance consistency and ensures adhering to best practices.
  • Supports project intake and resource forecasting/tracking efforts.
  • Supports implementation and rollout of proactive departmental PMO support.
  • Demonstrates teamwork, innovation and excellence within daily work.
  • Performs other related duties as assigned.

Required Skills/Abilities:

  • Well organized, very strong detail orientation, deadline-driven, experience with project management basics, strong oral and written communication skills.
  • Customer service-orientation, with the ability to adapt to various audiences.
  • Ability to work in fast-paced environment with shifting priorities.
  • Ability to prioritize and complete tasks, thoroughly, efficiently, independently and on time.
  • Advanced proficiency with Smartsheet or desire/ability to quickly develop knowledge for subject matter expertise of application.
  • Ability to quickly learn about yet-to-be-identified applications in support of the PMO/IMO and become a SME/administrator.
  • Advanced proficiency with Microsoft Office Suite or related software.

Education and Experience:

  • Bachelor’s degree in business or related field from an accredited college/university.
  • Minimum two (2) years of related work experience.
  • Knowledge of project management, flowcharts, technical documentation, etc.

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
