Job Summary:
The Facilities Coordinator plays a pivotal role in ensuring the seamless operation of our facilities management and procurement functions. This position demands meticulous attention to detail, analytical abilities, and an expertise in data management and analysis, particularly through advanced use of Microsoft Excel. The coordinator will be instrumental in maintaining, auditing, and inputting critical data across various platforms, facilitating effective decision-making and operational efficiency.


Key Responsibilities:

  • Facilitate the optimal functioning of the Facilities Management and Procurement teams through proactive collaboration.
  • Demonstrate advanced proficiency in Microsoft Excel to perform data analysis, create comprehensive data summaries, and develop insightful reports that support strategic decision-making.
  • Efficiently manage vendor setup processes for Facilities Management & Procurement, ensuring all necessary documentation and data are accurately captured and maintained.
  • Input and manage asset information within the CMMS (Computerized Maintenance Management System) and CAFM (Computer-Aided Facility Management) system, including but not limited to vendor quotes, purchase orders, specifications, and warranty details.
  • Oversee the maintenance of the assets-to-be-tagged list, ensuring accurate status and location tracking of assets.
  • Ensure compliance with insurance requirements by managing the collection and verification of Certificates of Insurance (COI) from vendors.
  • Provide backup support for the Maintenance Dispatcher, ensuring uninterrupted service coverage.
  • Collaborate with procurement personnel to streamline purchase order processes, from requisition to fulfillment, leveraging Excel to track and analyze procurement data.
  • Collaborate with the procurement department on requests generated from various platforms that require critical thinking, sourcing, vendor negotiation, order fulfillment, and payment reconciliation.
  • Engage in the identification and implementation of efficiency enhancements across procurement and facilities management workflows.
  • Utilize Microsoft Teams effectively for communication and collaboration with team members, enhancing the flow of information and project coordination.
  • Participate in and contribute to special projects as needed, encompassing a range of activities from data collection to process improvement initiatives.

  • Experience in purchasing, sourcing, and vendor management, underscored by a keen analytical approach to problem-solving and process optimization.
