Job Summary

Under the supervision of the Chief Program Officer for DD Services, the Chief of Staff for Developmental Disabilities Services will be responsible for agency-wide project management, data analysis and reporting and tracking collaborative activities between departments and divisions as well as leading special projects as assigned.

The ideal candidate in this role for DD Services plays a critical role in providing analysis and management of divisional priorities, define by the CPO. The person in this position must possess exceptional attention to detail, outstanding project management and organizational skills and is an excellent communicator. Non-for-profit DD experience preferred.

The VP of Operations is a member of HeartShare’s DD Directors’ Group, DD Managers’ Group, and the HeartShare Leadership Council.

Job Responsibilities

  • Work with the leadership team on emerging strategic initiatives from vision to execution, including project management and implementation.
  • Assist in identifying critical issues and potential roadblocks to achieving strategic goals and partner with senior and program leaders to address them.
  • Improve processes and coordinate organizational procedures to optimize efficiency and productivity.
  • Build relationships with DD leadership team to increase the efficiency and effective responsiveness of existing operations; help with tracking new operational strategies
  • Handle internal and external inquiries, develop action plans, and assist with the preparation and dissemination of responses.
  • Monitor progress on organizational and program-specific goals via surveys, focus groups, assessments, and attendance.
  • Able to work with cross-functional teams and streamline processes to create efficiencies.
  • Comfortable with making presentations to an executive-level audience.
  • Managing CPO schedule, attend meetings, recording meeting minutes, and ensuring meetings remain focused.
  • Work with CPO to determine division outcomes measures and monitor progress toward meeting identified outcomes.
  • Identify opportunities for improvement in the current operating environment.
  • Respond to inquiries on behave of the CPO.
  • Provide high -level insight and analysis of the organization’s operations to executive staff and other senior leadership.
  • Represent HeartShare and its administration, both within and outside the organization, in a manner that promotes the Mission, Vision, Values and Goals of the agency.
  • Remain sensitive to and ensure staff responsiveness to cultural differences in HeartShare’s service population and staff.
  • Undertake any additional tasks and initiatives as assigned by the CPO and/or President and CEO.

Qualifications


Qualifications

  • Bachelor’s degree from four-year college preferred.
  • Five (5) years of experience as an executive assistant or project manager.
  • Experience in planning and leading strategic initiatives.
  • Excellent written and verbal communication skills.
  • Advanced Microsoft Office Suite (Outlook, Excel, PowerPoint) skills.
  • Knowledge of Paycom and NetSuite preferred.
  • Must be detail oriented and highly organized.
