Job Summary and Qualifications

As a Cardiovascular Services Coordinator, you are responsible for patient scheduling, coordinating information flow within assigned areas, overseeing clerical operations in Cardiovascular Services, acts as Records and Retention Coordinator and serves as a resource to staff. You will be the point person for processing of health information between the referring office and health information management (HIM).You will use open, professional communication (verbal, non-verbal, and written) to directly interact with physicians, patients, guests and other health team members. You will demonstrate organizational and time management skills, ability to work with and without supervision, provide quality work, meet productivity expectations, accept change, prioritize and be capable of multitasking. You will assist the Director /Manager/Supervisors in ensuring day-to-day operations of Cardiovascular Services and meet required deadlines. You will work closely with other healthcare team members to facilitate exceptional patient care, while also promoting optimal unit operations. You will adhere to the customer service standards while maintaining a clean, efficient, and safe work environment.

  • You will maintain liaison with department directors/managers/supervisors and respond to their general questions assisting where possible and oversee the clerical operation and the day- to day administration of CV
  • You will maintain established policies and procedures, objectives, and safety standards
  • You are responsible for scheduling Day Patient, EP and CL procedures in collaboration with physician’s offices and ancillary depts
  • You will utilize Leading Reach, Meditech, and HPF to coordinate medical records and schedule requested procedures in a timely manner
  • You will coordinate and gather essential data and prepare Program Quality reports on a monthly and/or quarterly basis for the CV Services Department under the direction of the CV Services Director and Manager
  • You will coordinate filing system as necessary
  • You will assist with maintenance and updates of department specific policies and procedures
  • You will participate in hospital or departmental performance improvement activities
  • You will provide support to other departments within the CV Services line
  • You will coordinate monthly/quarterly CV Services meetings
  • You will be the resource back up for departmental stats entry and for departmental charges and profile completion
  • You will complete Order Entry and purchases as needed

Job Requirements

Experience

  • Minimum 1 year general secretarial responsibilities (typing, filing etc.)
  • Previous experience as an Administrative Assistant / Coordinator in the healthcare industry

Education

  • High school graduate or GED equivalent
  • Completion of a Secretarial/Administrative Assistant vocational program - preferred
