St. Louis Heart & Vascular (SLHV) is a fast-paced, growing heart and vascular clinic with an on-site surgery center. SLHV isseeking a hard-working, team-oriented individual to join our team and serve as the Office Manager for the practice. As the Office Manager, you will be responsible forachieving patient and organizational goals by effectively managing front office processes, oversee office supply management, and assisting with personnel needs within a medical practice.
Essential Functions of the Role:
Ensure and maintain compliance with all laws governing our company (e.g., HIPAA), supports organizational goals while adhering to all federal and state regulations and guidelines.
Builds a community within the practice that fosters employee satisfaction and retention by developing strategies to achieve organizational goals,beingavailable to staff,listening to employee concerns, accepting feedback from others,developing subordinates’ skills, and encouraging growth among yourself and team.
Overviews operations of medical practices, including financial, customer satisfaction, maximizing operational efficiency, business development, staffing, supplies, and facility management
Ensures the right documentation and communication with patients by overseeing reports, discharge summaries, and other correspondences
Establish clear expectations for employees around desired patient experienceand respond promptly to customers’ needsbygreetingpatientsupon arrivalandscheduling appointments and answering all patient inquiries in person and on the phone
Oversees and approves timesheets, manages employee needs, assists with employee onboarding/offboarding efforts, and maintains organized personnel folders for those in the practice.
Improve processes, products, and patient services through modern and creative thinking thus enhancing the patient and employee experience
Complete all required tasks accurately and on time; possesses an ability to work on multiple projects, problems, or tasks at once and uses research, facts, and analysis to inform decisions and continually improve outcomes
Oversees maintenance of the facility, creating an environment that makes both the patients and employees proud
Partner with marketing agency to drive an increase in new patients, patient education and community awareness.
Assist in the management and oversight of practice invoices and patient collections.
Demonstrates high integrity in all activities; does not cut corners to achieve goals and always do the right thing- even when no one is watching.
Minimum Qualifications:
Desired Qualifications
Clinical experience in a cardiology practice
Preferred knowledge ofAthena, ADP Workforce Now and proficient at using Microsoft Office 365 to include Word and Excel
Travel Requirements
Travel maybe requiredbetween offices in the St. Louis area as needed.
Physical Requirements
This position requires full range of body motion. While performing the duties of this job, the employee is regularly required to sit, walk and stand; talk or hear, both in person and by telephone; use hands repetitively to handle or operate standard office equipment; reach with hands and arms; and lift up to 25 pounds.
Work Environment
Work is performed in a typical medical clinic and/or business office environment. Work in a clinical setting has the potential for exposure to blood and bodily fluids, and infectious pathogens. Must be able to use protective equipment as required.
