POSITION TITLE: Clinic Assistant - WIC

FLSA STATUS: Non-Exempt

MISSION: Healthfirst Network, Inc. is dedicated to providing quality, confidential reproductive health care, education and nutrition counseling that is affordable and accessible through direct care and strategic partnerships.

POSITION SUMMARY: The Clinic Assistant – WIC is responsible for facilitating the flow of participants through the clinic. The Clinic Assistant - WIC helps participants by providing information, services, and assistance, working to ensure high quality care is delivered in a family-friendly environment which encompasses all of the Being Person Centered (BePC) principles. The Clinic Assistant - WIC provides services as directed by the Service Line Manager

– WIC. The Clinic Assistant – WIC will provide WIC and Fit Families services according to policy and protocol outlined in the Wisconsin WIC Operations Manual and the Rosie Users’

Manual.

ACCOUNTIBILIES/RESPONSIBLITIES:

  • Administrative o Understands the goals and objectives of the WIC Program and public health services in general o Respects the diversity of the population served by WIC, and the ability to work effectively with a low income, multi-cultured population o Participant registration which includes: updating demographic information, verifying income level, checking identification and residency requirements for eligible clients, and accurately documenting participant information in ROSIE o Has lead responsibility for management of participant appointment scheduling including answering phones, sending appointment reminder post cards and calling all participants for education, mid-certification and certification appointments, and maintaining appointment schedules o Reports any necessary deviations in clinic schedules to the Service Line Manager

WIC as soon as possible, including adding or deleting clinic days in response to participant needs. o Completes all data entry in a timely fashion o Responsible for management of waiting list for WIC participants when at waiting list status o Responsible for all daily office activities including phone calls, filing, entering pre-application information in ROSIE prior to appointment o Has responsibility for computer transport and set-up at outreach clinics

o Provides information to participants regarding all services available at HFNI o Maintains security and confidentiality of clients and their records

  • Electronic Benefit Transfer o Issues supplemental food benefits to WIC participants according to established

WIC procedures o Inventories electronic benefit transfer cards according to required procedures for the purpose of maintain security at all times o Has responsibility for voiding food benefits in ROSIE according to established protocol

  • Clinical o Performs physical assessments on women, infants, and children according to established standards and procedures o Documents participant assessment data consistently and accurately in ROSIE o Maintains adequate laboratory supplies at each certification site o Properly maintains laboratory and office equipment (including computers and printers) and schedules routine maintenance checks on all equipment as established by protocol o Reports problems with laboratory and office equipment to the Service Line Manager – WIC for maintenance and/or repair authorization o Cleans lab at the end of the day o Maintains security and confidentiality of all participant records according to

HFNI policy o Effectively interprets WIC policies to participants o Assists with special project activities when necessary o Attends orientation, training and staff development functions

QUALIFICATION REQUIREMENTS:

  • Must be committed to quality healthcare, excellent customer service and the mission of Healthfirst Network, Inc.
  • Ability to relate to diverse communities and be sensitive to cultural and ethnic differences among staff and clients
  • Must be articulate with good verbal and written communication skills
  • Ability to work collaboratively and independently
  • Must exhibit good organizational skills
  • Knowledge of computer and electronic medical records
  • Willingness to travel as needed.

EDUCATION and/or EXPERIENCE:

  • GED or diploma required
  • 3-5 years of previous training and experience in health or human services and nutrition programming preferred
  • 3-4 years of previous experience in data processing and office management required
  • Previous experience in community involvement desirable

WORKING CONDITIONS:

  • General office conditions consistent with working in a health care environment
  • High degree of accountability for agency services and for well-being of clients
  • Possible exposure to communicable diseases and toxic substances in the clinic sites
  • Will work with blood or blood-borne pathogens and will require OSHA training which will include safety precautions and the use of personal protection equipment
  • Must have own reliable transportation. This position requires travel, therefore a valid driver’s license and auto insurance in accordance with agency liability standards is required

PHYSICAL DEMANDS:

  • Work requires accuracy and moderate speed
  • Sitting for long periods of time, occasional lifting, carrying, moving, and transporting items to other sites or within sites. Driving or riding in vehicle for up to two hours or more. Variety of physical exertion with some and /or continuous standing or walking
  • Manual dexterity needed for clinical procedures, computer use, etc.
  • Ability to comprehend data collection, digital communications and paper documents

Job Type: Full-time

Pay: $14.00 - $24.00 per hour

Expected hours: 40 per week
