JOB FUNCTION / SUMMARY: Provides assistance to the Vendor Managers regarding requests for vendor management support. Provides initial drafts of contracts, as assigned, for compliance with internal approved standard language and vendor management procedures. Communicates with internal customers requesting vendor management support. Communicates with third party vendors as necessary to complete the contracts draft. Assists with the coordination of vendor reviews. Assists with organization and maintenance of contract language templates provided by the Legal Department. ESSENTIAL DUTIES & RESPONSIBILITIES: Work closely with all groups in and across Central Procurement, Procurement Operations, Category Management, and Continuous improvement to maintain, and execute related data analytics and market analysis to aid performance transparency and decision making. Translates business, performance, issues, opportunities, market insights, etc. into analyses and design appropriate level reports to address / highlight. Determine trends in corporate procurement, analyze and form recommendations for consideration. Maintain monthly and quarterly dashboards, for usage by respective teams. Communicates with the business owner, to learn the intent and purpose of a request and determines the appropriate contract provisions or template to meet the services to be provided and the associated risks. Submits assigned contract requests to the Legal Department as per vendor management procedures. Prepares assigned contracts not submitted to the Legal Department, for final execution. Assists in the preparation of or generates contract provisions for assigned contracts according to standard language, approved by Legal and vendor management process and procedures. Researches, reviews, and provides information regarding third party vendors to the Vendor Managers. Responsible for maintaining and organizing contract templates as provided by the Legal Department, in a central repository. Provides contract database reports, as requested. Provides assistance to Vendor Managers by organizing data and information for internal and external audits and reviews. Scans contracts and related documents as needed, for input into the contract database and the contract images’ repository. Performs other duties as assigned by the Vendor Managers. Secondary Duties: Keeps abreast of regulations and bank policies related to vendor/contract management. Incumbent is required to comply will all applicable federal, state and local banking and industry related laws and regulations including but not limited to the Gramm-Leach-Bliley Act. Incumbent is responsible for organizational integrity and business ethics as it relates to this position. Performs all other related duties and special projects as assigned. SUPERVISORY RESPONSIBILITIES: None MINIMUM REQUIRED EDUCATION, EXPERIENCE & KNOWLEDGE: Bachelor's degree or two to three years related experience in vendor contract construction Bachelor's degree and two or more years related experience preferred A combination of education and experience is acceptable. Ability to communicate effectively orally and in writing using the English language Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations Ability to write reports, business correspondence, and procedure manuals Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public Ability to work with mathematical concepts such as probability and statistical inference Ability to apply concepts such as fractions, percentages, ratios and proportions to practical situations Ability to define problems, collect data, establish facts, and draw valid conclusions Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables Knowledge of Microsoft Office products to include Word, Excel, Access, PowerPoint, SharePoint, and Outlook No specific certifications, licenses, or registrations are needed to satisfactorily perform this job ESSENTIAL MENTAL & PHYSICAL REQUIREMENTS: Ability to work under stress and meet deadlines Ability to operate related equipment to perform the essential job functions Ability to read and interpret a document if required to perform the essential job functions Ability to travel if required to perform the essential job functions Ability to lift/move/carry approximately 10 pounds if required to perform the essential job functions.
