Hawthorn Condominium Property Manager

Position Summary

This position is responsible for the day-to-day general management of a 138-unit high-rise condominium in Arlington, VA. The condominium is metrorail accessible and located between the Ballston and Virginia Square metrorail stations. The condominium is also pet friendly. The chosen candidate will be paid directly by the unit owners’ association and will work closely with the management company and Board of Directors. They will manage the day-to-day operations of the condominium association including: the operation and maintenance of building systems; administration of building operations and oversight of staff; monitoring and maintenance of the overall appearance and grounds; and development and maintenance of good unit owner and resident relations. This position is a great opportunity for an assistant property manager who is looking to move up, or for a property manager who is looking to make a change

Job details

Building management

  • Identifies property damage, required maintenance projects, areas of improvement.
  • Works with Board to plan long-range capital improvements.
  • Maintains working knowledge of association related state and county law, Association bylaws, resolutions, insurance coverage and other governing/ legal documents
  • Attends all board meetings, develops Board book of materials for each meeting, presents routine reports, including activity reports, variance reports, property inspections, community complaints/ suggestions at Board meetings
  • Oversees the preparation of resale packages
  • Manages the Annual meeting including meeting arrangements, mailings concerning nominations and ballots
  • Supervises the concierge including day to day work direction, time management and annual goal setting/ evals
  • Places service and supply orders as needed
  • Performs miscellaneous job-related duties as assigned

Financial management

  • Assists Board Treasurer with development of annual budget
  • Provides cost-saving proposals to the Board
  • Works with the Board to follow-up with assessment delinquencies
  • Authorizes payment to contractors and for other services
  • Oversees accounting and financial statements

Building operations

  • Monitors and ensures the general upkeep and appearance of the building and grounds
  • Conducts regular walk-through inspections of the building and grounds
  • Maintains a working knowledge of building systems and components and works with building engineer to ensure working order/ appropriate repairs
  • Handles emergency issues after hours, as needed

Contract management

  • Researches the work and costs associated with potential projects, at request of Board
  • Solicits bids for maintenance contractors and repair projects - works with Board to select contractors
  • Monitors contractors for adherence to contract specs, including timeliness and quality

Resident customer relations

  • Works to create a sense of community through customer service/ communication with owners and residents
  • Acts as the primary contact for any/ all resident concerns/ requests/ suggestions pertaining to any/ all building and community related issues
  • Provides general services to residents e.g key /fob replacements, notification and distribution of resident packages
  • Develops and manages communication to the residents using various communication vehicles including emails, elevator notices, bulletin board, BuildingLink
  • Applies Association bylaws and Board resolutions.
  • Informs residents of policies in bylaws/ and Board resolutions and complaints by other residents.
  • Provides initial response and approved follow-up to owners' formal complaints and requests
  • Arranges community social events, as requested by the Board and within the budget provided

Job Type: Full-time

Pay: Competitive annual salary based on level of experience

Qualifications

  • CMCA or PCAM preferred
  • 2-3 years minimum relevant experience
