As our Design Studio Administrative Assistant you have an important role in supporting Hawk's Team. You will be a great fit for this position if you consider yourself an overly organized person, communicate really well, are adaptable, dependable, find joy in detail, appreciate learning new skills, and feel accomplished in completing task lists.

Your responsibilities may include and you will have the opportunity to:

• Manage Hawk email correspondence and respond in a timely manor
• Assist in communicating with and scheduling appointments for incoming leads
• Assist in corresponding with clients, vendors, subcontractors and builders
• Manage project orders, tracking, delivery, inspection and any claims associated with orders as needed
• Manage all project invoicing and follow up through Houzz Pro - includes both product and design time
• Gather, order, pick-up and organize all samples for projects as needed
• Help prepare proposals and presentations through Houzz Pro
• Create and manage schedules for different aspects of each project through Houzz Pro
• When needed, coordinate and/or attend client, builder, sub-contractor and/or vendor meetings in-studio or on-site while taking detailed notes
• Help support interior designers and prepare vendors and/or installers for all installations
• Keep organized Google Drive folders and physical client folders
• Help to keep the studio organized, functional and tidy
• Misc errands and tasks required by the project and requested by the designer
• This role is primarily administrative-focused and will will require the majority of your day to be on a computer, so you must be proficient using a laptop/computer and comfortable learning how to use and balancing multiple online platforms/programs

Though not required, we could also use assistance in the following areas, and compensation would reflect the additional assistance:

• Manage social media account and communication
• Assist with website updates
• Occasionally assist with project photography coordination and photo organization
• Assist with some general marketing

• Wix

Job Type: Part-time

Pay: $20.00 - $25.00 per hour

Expected hours: 20 – 30 per week
