Description

Job Summary:
Responsible for effectively and accurately processing data into admissions and recruitment data bases. Process requests for updates in personal information and other areas pertaining to student data. Establishing and maintaining new student files. Provide internal, external customer service. Oversee assigned data process area and achieve comprehension of all processes and policies pertaining to the department. Assist supervisor, co-workers and admissions staff as needed.
Qualifications:
Minimum Qualifications:
  • High school graduate and college-level coursework
  • One year data entry or general office experience to include customer service
  • Demonstrated computer proficiency, including Microsoft office (Word, Excel, Outlook)
  • Must be able to type at least 25-30 wpm, including 10-key
  • Must have reliable transportation to and from work daily
  • Must be able to lift at least 15-20 pounds
Desired Qualifications:
  • Associates Degree or equivalent.
  • Four years of data entry or general office experience
  • Ability to work within deadlines quickly and accurately, while maintaining close attention to detail
  • Able to multi-task, use personal judgment and utilize strong decision-making skills
Other Qualifications:
  • Candidates must be legally authorized to work in the United States. Visa sponsorship and relocation allowance is not available for this position.
  • Report to work obligations to support the department and may require work during HPU's winter break, if necessary.
  • This position may be considered an essential position with report to work obligations depending on the type of emergency, campus closure, or evacuation.
  • Must meet training and background check qualifications and comply with the Protection of Minors policy.
  • Upon hire, candidate must have reliable personal transportation to facilitate travel between to all HPU worksites and other locations as required by the position. This includes a valid driver's license and a personal vehicle that is legally registered and insured.
  • This position may also require driving responsibility for an HPU vehicle. Due to driving responsibilities, you must meet training and background check qualifications and comply with HPU's Vehicle Driving policy.
  • Able to work all shifts and extended hours.
  • Successful candidate will be able to work in an environment that utilize excellent time and stress management skills.
Key Responsibilities/Essential Job Functions:
1. Data Entry (75%)
  • Process data and documents received from prospects, inquiries, and applicants across departments.
  • Create and maintain permanent university student files as required.
  • Process requests for updates in personal information and other areas pertaining to student data.
  • Verify, correct, delete unnecessary data, or combine data from several sources before entering in database or student file.
  • Maintain integrity of data by locating and correcting data entry errors or report them to supervisors.
  • Maintain logs of activities and completed work.
  • Maintain documents and student files in appropriate locations.
  • Coordinate with other departments (ie. Business Office, Registrar's Office, etc.) for the processing of student needs
  • Use informed judgment to verify official authenticity of received documents.
  • Inform and uphold admissions process, deadlines, policies, and procedures.
  • Work closely with staff to research/investigate and resolve issues regarding student records.
  • Learn system codes for automated and manual data entry systems.
  • Oversee assigned data processing area without supervision.
2. General Office Support (20%)
  • Provide information/assistance or routes caller to appropriate staff member.
  • Run weekly validation and data reports.
  • Process and distribute incoming files/incoming mail/returned mail/paperwork accordingly.
  • Maintain inventory and order materials needed to complete work assignments.
  • Copy and scan documents as needed.
  • Prepare manuals and other materials describing procedures and standards as required by the Department Head.
  • Ensure timely printing and mailing of all outgoing correspondence.
3. Performs other duties as assigned (5%)
  • Regularly meet with supervisor to discuss issues affecting the department and recommend policies or procedures to improve efficiency and productivity.
  • Recommend strategies to improve awareness and communication issues within the office and between other departments.
  • Establish and maintain effective working relationships with co-workers, supervisors, and all university employees.
  • Pursue personal development of skills and knowledge to improve performance.
  • Perform other duties as assigned.
  • Actively participates as an effective member of team by completing assigned duties, accepting additional assignments or reassignments.
