Salary:
$59,000 to $68,000 based on education and experience


Organizational Relationship

or Line of Authority: Reports directly to the Executive Director of Student Support Services, and/or his/her designee.


The Haverhill Public Schools serves over 8000 students across 16 schools in an urban school district. As a gateway city, Haverhill supports a large population of high need students and offers universal free lunch and breakfast to all students. Superintendent Margaret Marotta, Ed.D. is leading the district through a pivotal phase in its development, focused on graduating students who are ready to be successful citizens and leaders of the world.


Statement of Duties:

  • Responsible for maintaining Circuit Breaker claims
  • Responsible for payments on all out of district students and maintain accurate spreadsheets to reconcile claims on Circuit Breaker
  • Verify student IEP’s with services that may qualify to claim in Circuit Breaker
  • Work closely with the Out of District Coordinator ensuring student placements
  • Prepare contracts for Out of District students
  • Prepare vendor contracts
  • Work closely with the Assistant Special Education Director to reconcile grants
  • Maintain Out of District budget with the Assistant Director and Out of District Coordinator
  • Maintain List of Out of District Students going out and coming back to the district
  • Maintain good relationships with the Out of District Schools
  • Maintain accounts payable for all invoices coming in (Out of District, contractual services, IEE’s etc.)
  • Set up agreements and payments for hospital tutoring approvals
  • Create purchase orders for all Out of District students, extended evaluations, contracted services, supplies and PD’s
  • Submit payments for legal services to the business department
  • Submit Invoices for TVI services, O&M services, and Tuition IN students to the business department
  • Work with providers and parents for student evaluations-contracts
  • Prepare and maintain postage equipment lease
  • Prepare and maintain expense vouchers
  • Verify and submit staff’s travel reimbursements to the business department
  • Verify account numbers on time sheets prior to submitting to Payroll
  • Schedule professional development trainings and work on financials/agreements with vendors (when needed)
  • Maintain subscription student/teacher (when needed)
  • Invoice and track Bartlett School and Greenleaf Academy revenue
  • Order supplies as requested
  • Assist with Medicaid quarterly on the financial side of out of district students
  • Assist with School Choice claims
  • Request Equipment for out of district students
  • Maintain Filing system for all financials and confidential information
  • Record Special Education central office staff attendance in School Brains
  • Record out of district student attendance (Alert Out of District Coordinator with excessive student absences)
  • Assist school clerks on ordering supplies or setting up agreements when grant related
  • Manage staff PD requests
  • Manage the Medicaid Program
  • Responsible for office related tasks during summer
  • Such alternatives to above responsibilities as the Superintendent of Schools and/or the Director of Student Support Services may find appropriate and acceptable


Qualifications:

  • Bachelor’s degree preferred
  • Bilingual Bicultural candidates encouraged to apply
  • Knowledge of Special Education
  • Ability to work with diverse populations
  • Ability to work independently
  • Ability to work effectively and professionally with parents, administrators, colleagues, community, and other school system staff
  • Ability to be calm under pressure, especially in difficult conversations with parents and staff
  • Ability to be flexible and adapt as needed between various in-person working environments
  • Carry out verbal and written directions; write and speak at a level sufficient to fulfill the duties to be performed for the position described
  • Maintain an appropriate professional demeanor during periods of heightened stress created by outside factors not always within the ability of the employee to control at the time
  • Knowledgeable in Microsoft Products ie. Word and Excel and Google Documents
  • Knowledge of electronic data collection
