POSITION: Placement and Recruitment Specialist


REPORTS TO:
Director, of the Hartford Public Schools Office of Enrollment and School Choice


PRIMARY FUNCTION:
Provides support and assistance to the Office of Enrollment and School Choice to ensure the timely recruitment, placement and registration of families who: participate in the Hartford Public Schools Choice Lottery and/or RSCO Magnet Lottery; have relocated or are new to the Hartford Public Schools; and/or move intra-district during the school year. Provides assistance to families in the registration process for select schools. Assist families with completing various school selection applications, online registration forms, and provides customer service in school placement and registration matters.


TYPICAL DUTIES AND RESPONSIBILITIES
:

  • Assist families with the online registration process, collect required registration paperwork.
  • Review registration forms submitted online and follow up with families regarding missing documents relative to registration. Receive and review all forms and request for student placement.
  • Works directly with families to complete Choice applications, answer questions, and provides direct support to navigate the school selection process (HPS and RSCO Choice)
  • Check students in PowerSchool for needed placement information (available capacity, enrollment history… etc.)
  • Conduct research/investigation to extent possible with assistance from other departments such as school administration to ensure appropriate transfer or new placement
  • Work and communicate with various departments such as Special Education and Welcome Center as needed.
  • Communicate with receiving school regarding enrollment at their school
  • Generate correspondence to parents/guardian regarding school placement.
  • Keep an accurate database and files of all new placements or transfers.
  • Assist with student placement and registration and/or using the PowerSchool system.
  • Provide support to the Choice Program Managers and Coordinators.
  • Attends and assists Choice events, including information sessions, HPS Choice and RSCO fairs, and registration/application technical assistance sessions as needed.
  • Perform other support duties for the Office of Enrollment and School Choice as required by the Director.


SKILLS, KNOWLEDGE, QUALIFICATIONS, AND EXPERIENCE
:

  • Bachelors Degree and/or Associates Degree with 5 years’ experience in customer service fields, college courses or on-the-job experience in related area.
  • Demonstrated ability to successfully multi-task.
  • Ability to establish and maintain effective working relationships with office staff, administrators, and other personnel.
  • Ability to work with parents and other customers to problem solve matters.
  • Ability to remain calm under very stressful conditions.
  • Excellent customer service, communication, and interpersonal skills.
  • Ability to use technology to maintain a variety of records.
  • Demonstrated knowledge of District Policy and Procedures
  • Proficient with computers utilizing Microsoft Products or other district databases such as Power School.
  • Knowledge of modern office practices and procedures.
  • Ability to be flexible and work an extended day to meet the goals of the Office of Enrollment and School Choice.


CERTIFICATION REQUIREMENTS
: Non-certified


SALARY AND TERMS OF EMPLOYMENT
: This is a twelve-month work year position. $38,000-$48,000


EVALUATION
: Evaluations shall be conducted annually by the supervisor.
