Harris is Hiring a Corporate Services Coordinator - Front Desk Near Saint Paul, MN

The purpose of your role as a Corporate Services Coordinator

As a Corporate Services Coordinator, you perform front desk duties, which includes greeting and directing visitors, answering incoming calls, distributing mail, and reserve conference rooms. Corporate Services Support processing business card form requests. Manage office supplies, Mitel administration, Swiped-on administration and building services. This is an in-office position based out of our St. Paul, MN office.

Receptionist/Front Desk:

  • Answering and routing incoming calls, taking messages; monitoring answering service messages each morning
  • Greet clients, owners, subcontractors, and team members who visit the office
    • Assist guests and team members with electronic check-in
  • Prepare packages for Federal Express and courier deliveries. Receive packages and letters as required. Sign for parcels when necessary and notify employee of delivery.
  • Sort distribute daily mail delivery

Organization Support:

  • Assist accounting department with incoming mail, separate and date
  • Process business card requests, order stationery and forms.
  • Maintain inventory and order office supplies
  • P-card allocations
  • Coordinate bond requests
  • Vendor/Customer Set-up
  • Contribute to the desired safety and work culture of the organization.

Office Support:

  • Mitel Administrator - Train new employees on telephone system and maintain companywide phone directory. Assign and transfer extension lines.
  • Swiped-on Administrator – Maintain and make updates to platform as needed
  • Monitor Corporate Services Inbox
  • Process Permits
  • Reserve conference rooms and order lunches as requested.
  • Assist with coordinating janitorial services, carpet and window cleaning, pest control, copier service, postage machine service, vending and coffee machines.
  • Scan and index back-up documents
  • General administrative support as requested

What we're looking for in you

  • 4 years of prior experience providing customer service in a professional environment
  • Ability to efficiently complete tasks and projects while incurring interruptions
  • Proficient with Microsoft Office – advanced typing skills
  • Strong written and verbal communication skills
  • Ability to work as part of a team and take direction from multiple stakeholders

Pay Range: $23.18 - $34.77 per hour

The actual salary offer will vary by candidate based on a wide range of factors such as specific skills, qualifications, experience, and location.
