Department: Marketing and Box Office

Job Title: Tessitura Administrator

Reports to: Vice President of Marketing & Sales

Type of position: Full-time

Option to be fully remote; in-person or hybrid if desired. Salary: $60,000 – $65,000

Hours: Monday – Friday, 9:00 AM to 5:00 PM Occasional weekend/evening hours may be required during certain times of the year, such as season launches or Tessitura upgrades.

General Description

The Tessitura Administrator is a full-time position, reporting to the VP of Marketing & Sales to oversee ticketing operations, database management, reporting, and revenue across all streams of programming. This newly revised role is responsible for the day-to-day management of the Harris Theater’s ticketing and CRM operations and playing a collaborative role in the Marketing department’s pricing strategies and inventory management. The Tessitura Administrator should seek ways to improve ticketing operations, relationships with rental organizations, and the audience experience. In addition to building ticketed events in Tessitura for Harris Theatre Presents, Resident Company, and rental programming, this role will require staying up to date on new technologies and industry trends, attending conferences and continued learning courses, as well as collaborating with colleagues in Chicago and across the country.

Keeping with the supportive, inclusive mission of the Harris Theater, applicants must possess a collaborative spirit to succeed in this position. The ideal candidate should have excellent communication skills, as they will not only work with external organizations but also with the Box Office Treasurer and ticket service representatives that operate under a collective bargaining agreement with the IATSE Local 750 ticket sellers union.

DUTIES AND RESPONSIBILITIES

50% | Ticketing Operations

  • Research and establish the most efficient way to put performances, events, registrations, andsubscriptions on sale.
  • Oversee and execute the implementation of each season’s programming in Tessitura, including allperformance and subscription ticket builds for Harris Theater Presents, Resident Companies, andVisiting Companies as required.
  • Build and maintain the facility fee and ticket handling fee structures, to best maximize feerevenue.
  • Manage all TNEW set-up and maintenance, in collaboration with the Digital Content Coordinator.
  • Serve as the primary representative for the Harris Theater ticketing team amongst our Residentand Visiting Companies before and through their ticket on-sales, in collaboration with the BoxOffice Treasurer. After each performance or event’s on-sale, continue to support the Box OfficeTreasurer as needed while they serve as the on-going contact for the organization through showsettlement.
  • Create and generate lists and extractions needed by the marketing, development, and ticketingteams.
  • Prepare, test, and execute all order imports when tickets are sold outside of the Harris Theaterticketing system. This includes, but is not limited to, troubleshooting with Resident Companies

who export their ticket data from Patron Manager, Spektrix, and other Tessitura licensee databases into our Tessitura database in the most streamlined, accurate way possible.

  • Assist with additional Tessitura training for staff, as may occasionally be needed by the Box OfficeTreasurer, who will be the person primarily responsible for the onboarding of all box officeemployees. This additional assistance will include creating box office onboarding documentationand creating a written, outlined Tessitura training plan.
  • Other ticketing duties as assigned.

30% | Database Management

  • Provide leadership in database management, acting as the organization’s expert in the primaryticketing and donation system (Tessitura).
  • Take charge of system upgrades, patches, and recommended changes from vendors, withTessitura Support and Extended Services' help.
  • Handle all troubleshooting within Tessitura. The ideal candidate should have confidence in how tosolve issues within the application and enjoy problem-solving.
  • Manage other applications that integrate with Tessitura, such as the connection to the emailclient, data analytics dashboard, and NSCAN integration.
  • Collaborate closely with select team leads, department heads, and power users to ensureeffective utilization of Tessitura in daily operations.
  • Serve as one of the primary representatives for the Harris Theater’s ticketing consortium, whichcurrently includes one other organization.
  • Play a key role in organizing regular meetings with Tessitura stakeholders and power users toaddress pending issues and streamline initiatives.
  • Ensure that institutional knowledge related to Tessitura, configuration, and customizations ispreserved and documented for future reference and use.
  • Lead data cleanliness initiatives including NCOA updates, regular merging of duplicate accounts,and other best practices.
  • Communicate with Tessitura Network Support or Extended Services to facilitate problem solvingand consultation on system issues, opening and following up on service tickets, etc.
  • Participate in cross-department working groups including IT/Systems and Customer ServiceServices lead consultant.

20% | Sales & Strategy

  • Work with the VP of Marketing & Sales to maintain accurate pricing of all concerts, including theimplementation of dynamic pricing strategies, and inventory management.
  • Provide regular updates on sales to the VP of Marketing and Sales as requested.
  • Participate in bi-weekly meetings with our data analytics vendor.
  • Coordinate testing efforts for new sales and marketing strategies.
  • Utilize and manage canned & standard reports, project managing the creation of new reports orediting/updating of current reports as needed.

EXPECTATIONS AND EXPERIENCE

As a member of the Harris Theater team, the Tessitura Administrator is expected to:

The ideal candidate will have:

  • 4 years of experience or demonstrated work in Tessitura ticketing operations and databasemanagement.
  • 1 year of experience with TN Express Web (TNEW) the online purchase path.
  • Experience with Ticketmaster is also a plus.
  • The ability to communicate clearly in writing.
  • A willingness to collaborate with colleagues, Resident Companies, and Visiting Companies.
  • The ability to prioritize and manage multiple projects, while maintaining focus on departmentgoals.
