We are seeking a committed and organized Administrative Coordinator to support the operations of our Strategy & Innovation portfolio. The Administrative Coordinator will manage the Office Manager, coordinate scheduling and logistics for the Managing Directors of Wealth Builds and Strategy & Innovation, and support with other administrative tasks. The successful candidate will possess excellent organization, prioritization, and written and verbal communication skills. They will be a strong collaborator who thrives in a dynamic, fast-paced, and highly team-oriented environment.

Minimum Qualifications

  • Bachelor’s degree required

Who you are

  • Proficiency in Microsoft Office Suite, knowledge of HR software and/or accounting software is preferred
  • 2 years of professional experience required, ideally involving administrative or office management experience
  • Excellent organizational and prioritization, ability to manage multiple tasks while maintaining attention to detail
  • Project Management experience is preferred.
  • Experience in managing executive-level calendars and changing meeting schedules
  • Experience managing others in a professional setting
  • Strong interpersonal skills and ability to engage with all levels of staff
  • Must be a self-starter and take initiative, highly proactive and self-disciplined
  • Resourcefulness, creativity, and strong problem-solving skills
  • Must possess high credibility and absolute commitment to confidentiality and professional integrity
  • Understanding of the challenges facing underserved communities of color

What you'll do

  • Assist Managing Director(s) with scheduling appointments, meetings, and events while ensuring efficient time management
  • Organize and maintain important documents, files, and records related to the Strategy & Innovation portfolio’s programs and initiatives.
  • Manage email correspondence, draft memos, and communicate with internal teams, external partners, and stakeholders on behalf of the Managing Director(s)
  • Coordinate logistics for meetings, including preparing agendas, materials, and minutes and ensuring follow-up on action items
  • Assist Managing Director(s) in various projects, research tasks, and administrative duties related to the Strategy & Innovation portfolio’s objectives.
  • Supervise the Office Manager and related staff to ensure successful execution of priorities
  • Collaborate with other HCZ administrative teams to coordinate multi-stakeholder events and activities related to the Strategy & Innovation portfolio.
  • Ensure the site area is always clean and presentable; oversee the collaboration with the Facilities Department to maintain the aesthetic appearance of office space
  • Perform other duties and projects as assigned.
