About the Role
The Firm Manager oversees the daily business operations of Hargrove Firm Services, Hargrove Firm, and all associated practices. Requiring excellent project management, organization, and interpersonal skills, this role will collaborate cross functionally having an insight into company finances, succession planning, mergers and acquisitions, and legal compliance. Alongside the Director of Legal Administration, the Firm Manager will play a key role in supporting the legal team by managing the flow of client matters. Success in this role hinges on an ability to be solutions-oriented and innovative while safeguarding and driving efficiencies that promotes company operational development and long-term sustainability. The ideal candidate has experience as Paralegal, Legal Assistant, Office Manager, or similar roles in the legal field.
Core Responsibilities
- Oversee procurement, acquisition, and integration of other firms from an operations standpoint.
- In collaboration with finance, review financial information and adjust operational budgets to promote profitability.
- Manage relationships/agreements with external partners/vendors including but not limited to landlords, facilities, technology partners, etc.
- Administer and procure company technology, both software and hardware such as laptops, monitors, printers, Microsoft licenses, Zoom licenses, Adobe licenses, etc.
- Ensure that the company runs with legality and conformity to established state and federal business compliance.
- Support executives with maintaining accurate company records relating to partners and company history.
- Other tasks as assigned by management.
People Management Responsibilities
- Provide guidance and support to legal staff in the implementation of operational initiatives.
- Support team by managing inbound requests, translating requests to create defined deliverables, and acting as a point of escalation to troubleshoot issues as they arise.
- Provide ongoing feedback to direct reports through both formal and informal reviews and conversations.
- Support timekeeping efforts of team members by reviewing and approving timesheets and time off requests.
Skills and Requirements
- 5 years’ experience in Operational Leadership, Office Management, or similar role.
- Experience as a Legal Assistant or Paralegal a plus!
- Bachelor’s degree in Business Administration, Project Management, Legal Studies, or related field preferred.
- Excellent written and oral communication skills.
- Excellent time management and organizational skills.
- Proficiency in Microsoft Word, Excel, Outlook, and Zoom; Basic proficiency in learning and navigating new technology systems.
- Superior knowledge of multiple operational functions and principles, including finance, data analytics, and customer service.
- Proven ability to plan and manage operational processes for maximum efficiency and productivity.
- Ability to streamline or implement structures and systems that boost speed and efficiency while supporting rapidly shifting business demands.
