HARDIN COUNTY COMMON PLEAS COURT

DOMESTIC RELATIONS DIVISION

AND JUVENILE SECTION

Job Title: Deputy Court Clerk

Department: Hardin County Domestic Relations Court

Reports to: Judge, Magistrate and Administrative Assistant

Civil Service Status: Unclassified

FLSA Status: Non-Exempt

Job Statement:

This is a fast-paced office that requires the ability to manage multiple tasks simultaneously and to handle walk-ins, emergencies and non-scheduled court related matters effectively, efficiently and professionally.

Essential Duties:

Ability to professionally and effectively communicate, verbally and written, with the public, attorneys and their staff, other courts and governmental agencies by telephone, email, fax and/or in person.

Ability to take direction and work harmoniously with Judge, Magistrate, and co-workers to ensure the functions of the court are carried out in a timely manner.

Assist with scheduling, documenting, and filing of cases.

Review cases, schedule hearings, prepare and distribute notices of hearings within twenty-four hours of scheduling..

Attend hearings as Officer of the Court; assist and coordinate matters for the court.

Receives, records, files, verifies, and dockets all proceedings, pleadings and entries for the court's cases.

Maintain court files in a neat and orderly manner at all times and ensure that all documents are only kept in the corresponding file.

Prepares and transmits reports to the Bureau of Criminal Investigation, The Supreme Court of Ohio, The Ohio Department of Youth Services, and any other agencies.

Prepares citations and other correspondence.

Assist in a variety of departmental functions including, the operation of cashiering, payroll, purchasing, accounts payable, and accounts receivable.

Perform any other related duties as required by the Judge, Magistrate and/or Administrative Assistant.

Assist with the administration of special projects.

Necessary Skills:

Knowledge of Ohio law and government policies, court procedures, and activities of the court as they pertain to the performance of duties relating to the position of Deputy Court Clerk.

Knowledge of the terminology used within the department.

Ability to compile, organize, prepare and maintain an assortment of records, reports and information in an effective manner and according to departmental and/or governmental regulations.

Ability to communicate effectively with supervisors, colleagues, other staff members and the public at large.

Ability to use independent judgment in routine and non-routine situations.

Ability to handle required mathematical calculations.

Ability to plan, organize and/or prioritize daily assignments and work activities.

Ability to comprehend laws and apply regulations and procedures of the department.

Ability to operate and use computer applications as necessary in the completion of daily assignments.

Ability to operate various office equipment including computers, typewriters, calculators, fax machines, and copying machines.

Qualifications:

Paralegal, legal assistant or court clerk preferred.

High school diploma required.

Ability to pass a drug test and background check.

In accomplishing the responsibilities of this position, the Court expects that the employee will adhere to the mission and values of the Court as well as all Court policies and procedures. In addition, while carrying out the duties of this position, the employee is expected to model high ethical conduct on and off the job and always exhibit a professional and respectful demeanor.
