Summary of Job Duties:
  • Develops, administers, implements and reviews departmental systems, such as analysis of available labor hours, work order cycle time, productivity per man hour, work order aging reports, long term fund analysis, and accounting and control; assists administrative personnel in establishing goals and developing plans and procedures; independently carries out the design and implementation of projects and operational assignments in managing the department's work management program, and keeps director informed of progress; assists in preparation and review of segments of annual budget (e.g., manpower/staffing requirements and program budgeting).
  • Manages work management system (i.e., supervises and monitors data entry, data entry of work orders, staff scheduling, production control, labor cost control and generating reports for evaluations); analyzes and imports data into work order system monthly and verifies data import accuracy; runs monthly utility m&v reports; assists with keeping monthly utility bill data accurate to help facilitate monthly bill approval
  • Responsible for exporting data from work order system by means of crystal report systems to develop detailed analyses of production in excess of $4.5 million labor per year.
  • Develops work planning information systems and procedures; analyzes automation requirements for same; oversees daily operation of all work planning information systems; monitors input by management personnel and interacts with systems users; assists in developing and implementing procedures for operation and maintenance of work management systems (i.e., project cost, production control, work and cycle time and long term trend reports).
  • Plans and coordinates use of work management system and software applications for the department; implements procedures to improve labor use efficiency; ensures and provides proper training of staff regarding systems and applications; monitors and manages the department's contracts for system design, development and maintenance; contacts vendor(s) to obtain information of software and resolve problems.
  • Plans, organizes, coordinates and controls the operation of work management system, and provides technical assistance for operation and control; develops procedures, controls and security provisions necessary to ensure the efficient daily operations of work planning functions in the department and the integrity of data files maintained by the department; keeps inventory records current.
  • Demonstrates regular and predictable attendance.
  • Advises management and/or co-workers regarding work planning systems, system maintenance and productivity increase opportunities.
  • Covers front desk, which includes greeting customers, answering phones, sorting mail, etc.; maintains departmental emergency contact list.
  • Minimum Qualifications:
  • High School Diploma or GED with college-level coursework and/or experience in computer practices and procedures which indicates an advanced knowledge of automated systems, data base management and spreadsheet applications
  • experience which indicates a general knowledge of facilities maintenance and facility maintenance management
  • and/or equivalent combinations of training and/or experience
  • Valid Driver's license
