Patient Service Team Leader, FM (42-2F)

at Salem Clinic Job Description ***Hours:*** Full-time, 40 hours per week

***Location:*** Main/Capitol Street

***Department:*** Patient Service, Family Medince

***Job Summary/Position Objective:***

Guides employees in maintaining a smooth running department under the direction of the patient service specialist supervisor. Observes all department policies and procedures.

***Essential Functions:***

- Provide guidance and counsel to maintain consistent, efficient workflow in the department to assure the best utilization of staff.

- Verify and update necessary information in the medical record. Input pertinent demographics, insurance information and appointment data into automated appointment system and on patient processing documents as needed.

- Ensure appropriate work schedules for all employees. Coordinate the adjustment of schedules as necessary with the staffing clerk and appropriate supervisor.

- Recommend and implement departmental policies and procedures. Update staff on changes.

- Order and receive supplies as needed. Review departmental special order requisitions with the department manager.

- Carry out timely counseling of staff for below standard performance and progressive steps in the disciplinary process as necessary, in conjunction with the patient service supervisor and department director.

- Coordinate fair, timely, written evaluations of staff with the patient service supervisor, giving both positive recognition and constructive feedback.

- Understand, maintain and utilize OHP and other insurance systems and guidelines.

- Attend required meetings and participate in committees as requested. Meetings include but are not limited to weekly team leader meetings and monthly department meetings.

- Serve as a role model to staff in maintaining a professional patient service attitude while carrying out job responsibilities.

- Assist in selection, training and orientation of department personnel.

- Coordinate timely completion of new hire orientation. Provide written and verbal feedback to new employees on a weekly basis for the first four weeks of employment.

- Monitor and edit department time reports.

- Use established telephone protocols.

- Work closely with providers, nursing and patient service staff to assure patient care.

- Ability to work independently and as a team participant.

***Other Duties:***

- Participate in gathering Quality Assurance data.

- Perform other duties as requested.

- Serve as a mentor to staff and patients.

Job Requirements ***Required Knowledge, Skills, Abilities:***

- Experience dealing with the public in an office setting.

- Strong interpersonal skills and oral communication skills to effectively supervise small work group.

- Ability to pass required typing and spelling test.

- Working knowledge of medical terminology.

- Detail oriented

***Preferred Qualifications:***

- Previous leadership experience.

- Working knowledge of Clinic's Electronic Health Record.

- Working knowledge of the Clinic's patient management system with corresponding telecommunication system.

- CPR Certification.
