The Donor Relations and Operations Coordinator serves as the relationship champion that provides a donor-centered approach to ensure donors and constituents experience high-quality interactions that foster long-term engagement, builds trust, and maintains or increases their charitable giving.This position is an integral role within the Foundation by providing management of a systematic, integrated, and engaging donor relations program. The coordinator will collaborate with all College Advancement staff and partners/colleagues across the College. This position offers the opportunity to apply creative and critical thinking skills in various communications and stewardship projects that connect the College with its current and prospective stakeholders and the broader community. The coordinator will work with the Foundation and Finance staff on financial and database management. This position will be integrated into all areas of the Foundation from fundraising initiatives and campaigns, communications, external relations, events, and implementing best practices. Reports to the Director of the Foundation.
Mid Salary $56,946.24 - We offer a competitive salary package that will be determined based on the candidate's experience level and qualifications related to the job. Compensation will be commensurate with your level of experience. Duties/Functions
  • Able to work independently to manage donor relationships, conduct and maintain research to coordinate prospect/ donor identification, and provide strategy. Create and implement stewardship plans to increase donor retention, engagement, and recruitment to broaden the base of support for the College by ensuring all gifts are appropriately acknowledged through various levels of stewardship, including involving other key roles such as the President’s Office and College Ambassadors.
  • Ensure CRM/database integrity by managing an accurate, timely, and integrated process of gift entry, gift acknowledgment, records management, batch creation/posting, reconciliation, annual tax receipting, and corresponding reporting. Create and maintain reports in CRM/database for various reports, mailings, meetings, and communication/contact methods. Maintain documentation of trends, analytics, and activities, including ongoing communications, continued cultivation, and engagement opportunities.
  • Create and facilitate stewardship and engagement opportunities, activities, and/or communication for donors to learn about College programs that demonstrate the value and impact of their investment, increase revenue, and drive philanthropy results aligned with the goals of Foundation (ie. planning tours or showcase of programs, sending scholarship recipient thank you letters, stories of alumni, community impact data, assisting with event planning, etc.)
  • Assist with execution of Board and committee meetings by ensuring logistics are covered, including but not limited to calendar/scheduling, file organization, material preparation, pre-meeting research and collateral, and making sure all necessary resources and needs are in place. Run meeting logistics in person and virtual, and record and prepare meeting minutes to meet audit and by-law requirements.
  • Serve on college committees and community organizations as needed or assigned.
  • Demonstrate and model the College’s employability skills: adaptability, communication, information processing, problem solving, responsibility and teamwork.
  • Perform all duties as assigned by supervisor.

  • Continuously thinking strategically about donor engagement, providing creative solutions to enhance donors’ relationships, and increasing the likelihood of continued contributions.
  • Troubleshoot inefficiencies or lack of process to develop successful strategies to improve relationships, awareness, and sustainability
Contacts
  • Daily: Foundation Director, Assistant Director, College Advancement Officer in shared workspace and team projects
  • Daily: Foundation donors, corporate partners, and constituents that include GTCC faculty and staff
  • Regularly (multiple times a week): Finance and Business Office Staff (primarily the Senior Accountant for Nonprofits
  • Weekly: Financial Aid Staff (primarily Scholarship Coordinator), other College Advancement team members in Marketing and Recruiting, and various faculty and staff (as they need support)
  • Monthly: Foundation Board of Directors, Committee Members, College President, College Leadership Team
Education Required
  • Bachelor’s degree from an accredited college or university.
Education Preferred Experience Required
  • Minimum of 3 years of fundraising or business development experience
  • Experience working with donors and/or clients with high levels of funding capacity.
  • Experience with internet-based Customer Relationship Management and/or donor database, and communication platforms (Constant Contact, etc.)
  • Experience writing business letters, correspondence of different methods, and disseminating large quantities of information
  • Project management skills to balance multiple responsibilities and the ability to adjust to functioning in different roles, from project lead to administrative support, based on tasks and interactions.
Experience Preferred
  • 5 years in fundraising, preferably in a nonprofit or higher education environment
  • Experience with prospect research, donor outreach/documentation, and event/program management or other relatable and transferable experience and skills
  • Prior experience writing and publishing donor acknowledgments, cultivation materials, and other philanthropy copy.
  • Experience with accounting, reporting, building and maintaining budgets, endowments, and fund distributions, understanding of nonprofit IRS standards and GAP
  • Involvement with professional associations/organizations and awareness of ethical guidelines or code of ethics of Association of Fundraising Professionals (AFP), CASE, or Association of Donor Relations (ADRP), the Donor Bill of Rights

  • Demonstrated ability to accept and apply feedback, aptitude for independent and cooperative decision making, follow leadership, alignment with organizational decisions, as well as proactive creative and strategic thinking and problem-solving
  • Self-motivated; able to multi-task with excellent attention to detail and deadlines, and can perform successfully without regular supervision.

Department/Job Specific Requirements
  • Ability and willingness to work outside normal business hours.
  • Participate and engage in regular staff meetings, 1:1 meetings, and other meetings across departments and divisions · Stay current with all privacy, confidentiality, and conflict of interest policies and best practices in fundraising and community college foundations
  • Must sit for extended periods of time and exert manual dexterity sufficient for keyboard and other office equipment operation.
  • Will require work outside of office setting to interact and support Foundation work at events and community relationships
  • Track expenses, record travel/mileage, follow purchasing requirements as expected by the Business & Finance Division
  • Explore and participate in professional development opportunities as this is a part of GTCC’s institutional goals
