**Position Summary**

The Senior File Room Support Specialist plays an important role in the organization by performing a number of activities related to the companys filing functions. The role is responsible for scanning and filing documents into Blitzdocs, and merging documents into the main file as directed. The Senior File Room Support Specialist boxes, labels and ships files to offsite storage within the established timeframes. They provide assistance and support to other departments with scanning, storage requests, reconciliation of storage vendor invoices. The Senior File Room Support Specialist will act as a SME/Lead and assist in the training of other entry level department members.

**Essential Functions**

* Ensure file room is stocked with needed supplies, kept clean and organized.

* Process, scan and file documents that are received from the Payoff and other departments. Escalate and/or communicate any issues and concerns to management promptly.

* Process, order and maintain logs for storage vendors.

* Process, file and scan all documents in accordance with naming conventions, data security, and privacy policies/protocols.

* Retrieve requested documents and files for state, agency and internal auditors.

* Box, label and ship files.

* Utilize PDF to merge individually scanned pages to create a complete document file.

* Comply with all guidelines and rules established by the company, investors, state, federal and municipal regulatory agencies.

* Provide productivity summary report on filing inventory within requested timeframe determined by management.

* Adhere to Guilds information security policies at all times.

* Maintain job training and compliance training.

* Assist management with special projects.

**Qualifications**

* High school diploma or equivalent preferred.

* Minimum two years general office experience working in a support role scanning documents or filing.

* Highly organized, strong attention to detail and the ability to interpret written and verbal directions.

* General knowledge of conventional and government mortgage loan documents preferred.

* Ethical behavior adhering to company values.

* Demonstrate a professional, positive and helpful demeanor.

* Ability to work in a fast-paced, deadline-driven environment required.

* Strong computer skills, data entry, Microsoft Word, Excel, Outlook and PDF.

**Supervision**

* General supervision required, depending on experience level

* Low independent judgment, follows instructions accurately

* Apply sound judgment in execution of core job responsibilities.

**Requirements**

Physical: Moderate to heavy level of activity required: frequent walking, standing, lifting and carrying of boxes that weigh 20 to 30 pounds. Use and control hand dolly and other equipment used to move heavy items.

Manual Dexterity: Frequent use of computer keyboard, mouse, labeler and tools used to assemble and prepare boxes.

Audio/Visual: Ability to accurately interpret sounds and associated meanings at a volume consistent with interpersonal conversation. Regularly required to accurately perceive, distinguish and interpret information received visually and through audio(e.g., words, numbers and other data broadcasted aloud/viewed on a screen, as well as print and other media).

Environmental: Office environment no substantial exposure to adverse environmental conditions.
