The Guadalupe Centers Charter Schools serves 1600 students from PreK-12 and is a free, open-enrollment public charter school. Over 92% of our students are Latinx. Our school system consists of Guadalupe Centers High School, Guadalupe Centers Middle School, and Guadalupe Centers Elementary School. Our system grew out of Guadalupe Centers’ educational programming. Guadalupe Centers is the longest continuously operating agency serving the Latinx community in the US since 1919. Our roots in our community run deep.

Summary:

The person in this position provides administrative support to the Director of Pre-K and VP of Children and Youth Services. This position also serves as an early education program advocate whose goal is to provide a seamless transition for children and families from the Pre-K to the Guadalupe Elementary School System.

Reports To: Building Principal & PreK Director

Duties/Responsibilities: 

Receptionist Duties

  • Maintain a supportive, professional relationship with Pre-K staff and families.
  • Provide ongoing verbal, written, and email communication support to the program.

Registrar Duties

  • Coordinate all aspects of school enrollment and transfers for Pre-K.
  • Coordinate student transfers/withdrawals, and communicate with appropriate offices regarding transfer/withdrawal information.
  • Maintain attendance records following state regulations; conduct follow-up calls (or letters to parents as necessary).

Program-Related Duties

  • Support VP as a liaison between GCCS and GCI programs by attending meetings representing the VP and other supportive duties as assigned by the VP.
  • Maintain communication with external program funders and support the funding reporting process.
  • Perform responsibilities with the knowledge that all communications are potentially sensitive and subject to GC's policy on confidentiality.
  • Coordinate buses for field trips and ensure that all required permission slips and releases are obtained.
  • Performs other related duties as assigned. 

Required Skills/Abilities:

  • Excellent written and verbal communication skills 
  • Excellent interpersonal and customer service skills. 
  • Strong organizational skills and attention to detail. 
  • Proficient in Microsoft Office Suite. 
  • Ability to consistently maintain a professional demeanor. 
  • Ability to conduct mature verbal interactions with families and children. 

Education and Experience:

  • Bilingual ability; English and Spanish is required
  • Associate Degree highly preferred.
  • 2 years of clerical experience.
  • 3 years of experience working in Pre-k/Early Childhood Education preferred. 

Physical Requirements:

  • Prolonged periods of sitting at a desk.
  • Must be able to lift up to 25 pounds at times. 
  • Must be able to traverse various school grounds and facilities.
  • Must be able to traverse the classroom and adjust one’s tone and height, by bending or leaning, to teach each child.
