HVAC Shared Services, powered by APi Group, is looking for a Subcontract Specialist to join our growing team. A successful Subcontract Specialist has a passion for accounting and a strong attention to detail in their everyday work and tasks. In addition, the incumbent must have the versatility to excel at all levels of work – from the mundane to the pivotal.

HVAC Shared Services

The Shared Services team is made up of 4 separate operating companies of APi Group; Metropolitan Mechanical Contractors (MN), NAC Mechanical & Electrical Services (MN), Grunau (WI) and Tessier’s (SD). Preference for location is Grunau based in Oak Creek, WI. Open for position to be based in Eden Prairie MN, Sioux Falls SD or Vadnais Heights MN. This is not a remote role but does offer hybrid schedule options once through training and onboarding.

Role Responsibilities:

• Enter Subcontract Purchase Orders
• Process and maintain Subcontractor MSAs
• Enter Subcontract certificates based on billing requirements (AIAs etc)
• Payment of Subcontractor Invoices
• Process and maintain Vendor Statements
• Execute administrative tasks including but not limited to filing, scanning, answering phones as needed
• Handle employee reimbursements
• Employee credit card statement and reconciliation
• Provide support for the Project Accountant team, as necessary
• Ability to be on the phone and computer consistently throughout the day
• Physical ability to lift 50 pounds.

Requirements:

2 years minimum experience working in an administrative role

Experience working with contracts

Proficient working with Office Suite including Excel

Construction Industry experience a plus

Experience working with subcontractor agreements a big plus

PAY RANGE: Pay dependent upon level of experience and education. Base Salary Incentive based on performance metrics and company performance.
