Position Summary:

The Operations Special Projects Coordinator will have multiple operational responsibilities reporting to and assisting the VP of Operations with various special projects effecting the overall operations of the communities. The position will actively participate in managing assigned projects that will require interfacing with Company and community staff along with other third-party professionals engaged by the Company. The position will require a knowledge of how senior living communities operate in order analyze and develop solutions and resolutions to assigned tasks.

  • Monitor the Company complaint/concern hotline and return calls and triage same to pertinent Company and community associates on a timely basis
  • Act as point person for all community requests for records and potential threats of litigation and maintain organized records of same and triage requests and litigation to pertinent Company, community, and third-party professionals, including insurance carriers, attorneys, and litigation consultants
  • Act as point person for major capital expenditures and track same for each managed community. Conduct capital expenditure meetings with owners and provide updates on capital expenditure spend progress
  • Oversee utility savings third-party vendors and progress of savings
  • Assure trip calendars of Regional Director of Operations are current and complete
  • Review Regional Director expense reports for accuracy prior to expense submittal
  • Maintain a community visit tracker to assure communities are being visited by Company staff no less than every three months
  • Provide support and participate in Executive Director orientation and training
  • Maintain Resident Agreements and provide revisions to same as directed
  • Provide reports as necessary reflecting performance in areas of responsibility
