As a Vehicle Title Clerk Administrator, you will be working in a world class dealership providing support for the Green's Toyota group as well as our sister dealerships.

You will be a part of the Administrative Department working with the Office Manager, Monday through Friday.

Job Description

Summary : The Vehicle Title Clerk Administrator position processes information and documents regarding motor vehicle registrations and other state-required documents.

This position must be administratively adept and organized with handling files and maintaining documents.

Processing

The position must handle and process confidential documents, to transfer vehicles to customers as required by local, state and out of state regulations of the Department of Motor Vehicles.

Attention to detail, accuracy, and timeliness are required expectations.

The position processes cash and ACH disbursements that must be sent to the appropriate agencies.

Organization and Filing

The position maintains a file system of vehicle sales and requires organization and confidentiality as well as physical filing of the deal jackets into appropriate filing cabinets and annual purging and boxing of deals for warehouse storage.

  • Essential Duties and Responsibilities
  • Accurately process vehicle transfer paperwork from the dealership to purchasers, both in state and out of state, based on customer’s residence.
  • Calculate sales tax and transfer fees to be submitted for transfers. Reconcile figures to transfer schedule.
  • File liens when required, in timely manner.
  • Update in-house deal tracker daily, according to established procedures.
  • Notarize paperwork for dealership as requested.
  • Initiate communication to Titling jurisdictions to ensure smooth processing of transfers.
  • Answer customer titling inquiries or concerns by phone, e-mail, fax or occasionally in person, in a professional, customer-focused manner.
  • Troubleshoot and resolve problems with specific titles, odometer discrepancies, power of attorney, etc.
  • Make copies, mail out pertinent documents, file deal jackets.
  • Prepare and send golden-rods to appropriate lending institutions, when necessary.
  • Process payoffs on trade-ins or lease buy outs, when needed.
  • Process reimbursements to customers where required.
  • Additional tasks may be assigned as required.
