5% King County Premium Pay will be added to salary 
The Program Coordinator provides support to the College & Caree Pathways Division under the general supervision from the Senior Director of Transitional Studies. The Program Coordinator provides inclusive, excellent customer service, while performing a variety of duties and delivering the information regarding college admission, enrollment, the BEdA Programs (includes Transitional Studies, English Language Learning, Open Doors and IBEST (Integrated Basic Education and Skills Training)), CASA Testing processes, and other college services to students, faculty, staff and community members. This position follows the practices, regulations, student confidentiality policies, and other collegial and departmental procedures, established by Green River College and State Board of Community and Technical Colleges and outlined by FERPA (Family Educational Rights and Privacy Act).

ABOUT THE COLLEGE:

Green River College's student body is made up of approximately 41% Academic Transfer students, 34% Professional-Technical, 15% Adult Basic Education, 3% Applied Bachelor degrees. Green River College has four campuses, including the main campus in Auburn, with satellite campuses in Kent, downtown Auburn, and Enumclaw. Green River programs serve high school graduates, Running Start students (dual enrollment in local high schools and the college), those seeking retraining for the workforce, international students, students learning English, and Continuing Education students. Customer Service Duties: 
  • Provide inclusive, equitable, and professional customer service to students, staff, faculty, and community members 
  • Provide direct customer service through various channels including virtual, in-person, email, phone communication
  • Explain college policies, procedures, and program information in a friendly, caring, and informative manner
  • Schedule appointments for TS, ELL, IBEST students by utilizing available technology 
  • Troubleshoot various issues for walk-in student, faculty, and staff
 
Admissions and Enrollment Duties: 
  • Schedule orientation and assessment appointments for potential ABE (Adult Basic Education) students 
  • Process admission applications for potential ELL students in timely manner, during ELL registration processes
  • Maintain the student application data
  • Assist in CASAS pre- and post-testing, maintain CASAS inventory and coordinate the CASAS schedule
  • Process student enrollment, including add, drop, overload, and swap courses
  • Keep the Senior Director of Transitional Studies and the Program Manager of College & Career Pathways informed of quality control issues

Data Reporting Duties: 
  • Assist in the preparation, compilation, and coordination of reports and records such as scheduling, registration, and testing, etc.
  • Establish and maintain electronic and/or manual file systems or data base files
  • Oversee quality control of WABERS (LACES) data, including working with program faculty at on- and off-campus sites, to clarify reporting practices and resolve data discrepancies 
  • Oversee WABERS (LACES) data collection
  • Create electronic student files to import into WABERS (LACES)
  • Enter student data into WABERS (LACES)
  • Generate ELL CASAS (STEP) reports
  • Generate enrollment reports 
  • Generate student contact information reports
  • Perform related duties as assigned
Minimum Qualifications:
  • High School Diploma or its equivalent
  • Two (2) years clerical experience or equivalent professional training
  • Demonstrated competence in verbal, written communication and interpersonal skills, and the ability to work positively with students, faculty, staff, and community partners
  • Demonstrate multicultural competence (including an awareness and understanding of historically minoritized populations) and maintain an educational and work environment that affirms commitment to equity, diversity, and inclusion.
  • Ability to adhere to the highest standards of integrity and honesty and maintain confidentiality 
  • Demonstrated ability to work cooperatively, strategically, and effectively
  • Demonstrated ability to multitask and prioritize a heavy workload 
  • Excellent organizational and time management skills
  • Ability to work with students with limited English or students who have extraordinary or multiple challenges in their lives
  • Ability to work for a program that has stringent federal and state mandates and strict deadlines
  • Ability to troubleshoot, research, resolve, and recall information required
  • Ability to multitask, and remain customer-focused, in a high-traffic environment
  • Ability to be open to feedback/constructive criticism, development, and continual learning and display an ongoing commitment to learning and self-improvement
  • Ability to be self-motivated with a diligent work ethic
  • Ability to work independently and as a member of a team 
  • Demonstrated proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, SharePoint) and electronic databases 
  • Must be flexible and open to additional and variable work hours in the periods of test sessions
Preferred Qualifications:
  • Associates degree
  • Prior PeopleSoft experience
  • Prior work experience with federal and/or state admissions, enrollment rules, regulations, and policies
  • Bi-lingual in one of the top seven languages in Adult Basic Education service area: Spanish, Dari, Pashto, Vietnamese, Chinese, Somali, Russian, or Ukrainian
