Responsibilities:

  • Responsible for scheduling patients appointments, solves scheduling problems, issues and/or concerns utilizing the facility computer system as applicable within limits of own position. Call specialist office with patient authorization.
  • Coordinates sick visits appointment scheduling.
  • Obtains referrals as necessary following office procedure and maintains patient confidentiality.
  • Provides daily scheduling of referrals to local hospitals and private physicians for adult medicine patients ensuring notice is given in a timely manner. Complete referral authorization procedure and/or forms as needed.
  • Ensures patient has all pertinent data pertaining to their specialist appointment (i.e., doctors name, address, any information they may need, etc.).
  • Responsible for contacting patients within two weeks of their scheduled referral appointments.
  • Provides follow-up of hospital reports and tracking those that have not returned. Notifies supervisor of any problems.
  • Serves as patient advocate. Defend and preserve the rights of patients pertaining to all aspects of their care, knowledge and privacy.
  • Demonstrates flexibility when responding to change. Assumes accountability for all actions. Responds appropriately to facility acuity and activity by providing assistance to both peers, patients, and staff as needed.
  • Responsible for contacting the insurance companies for authorizations.
  • Prepares and validates electronic claims.
  • Ensures receivables and billings are processed in an accurate and timely manner.
  • Has knowledge to proficiently use the electronic health record.
  • Has knowledge of the use and operation of all office equipment, i.e., telephone system, fax, computer system, copy machine, etc.
Qualifications
  • High school diploma or equivalent. 1-2 year business/vocational training or 5 years equivalent experience required.
  • Excellent communication and organizational skills.
  • Basic computer knowledge. Ability to type 45-55 words per minute.
  • Bilingual or trilingual preferred.
  • Previous medical background including good understanding of medical terminology.
  • Experience with referrals preferred
