Greater Gallatin United Way is Hiring an United Way kidsLINK Enrollment Coordinator Near Bozeman, MT

Come join a local nonprofit organization that is passionate about education, children and out of school time care. Greater Gallatin United Way is growing and seeking a kidsLINK Enrollment Coordinator.

The Greater Gallatin United Way kidsLINK Enrollment Coordinator is responsible for managing the enrollment system and administrative support for all kidsLINK out of school time programs. This includes program setup, parent correspondence, payment and scholarship administration. This position also provides general staffing and onboarding support for the kidsLINK program. This position requires an organized and competent professional with phenomenal communication and time management skills, comfortable dealing with people (in person, virtually and on the phone) and able to assist on a variety of administrative duties with accuracy and speed. The successful candidate has strong customer service skills, an ability to analyze and prepare reports from multiple sources of information and has a strong commitment to our community and programs. Software and enrollment experience a plus.

Key Areas of Responsibility: Include, but are not limited to:

  • Answer and respond to all incoming phone calls
  • Respond to kidsLINK@greatergallatinunitedway.org emails
  • Manage all program enrollment setup in the enrollment software system (Enrollsy)
  • Assist committee with scholarship eligibility determinations
  • Manage all Dolly Parton Imagination Library enrollments
  • Manage “class” enrollments setting up waitlists and payment structures.
  • Return all calls and inquiries as they relate to payments, enrollments and kidsLINK questions
  • Assist with billing, scholarships, correspondence, communications using program software
  • Assist with preparing for kidsLINK trainings as needed
  • Develop and maintain professional working relationships with all GGUW personnel, as well as other school staff members, such as the principal, and teachers.
  • Work cooperatively and effectively as a team member by communicating and contributing information on a continuous basis.
  • Assist with Community Outreach initiatives in collaboration with GGUW staff.
  • Assist the kidsLINK program team in addressing the ongoing needs of the students and parents.
  • Provide administrative support to the kidsLINK program with Enrollsy and CAYEN, account related communication, data management, and other administrative kidsLINK tasks as needed i.e., attendance, enrollment, billing.
  • Work with the kidsLINK team to plan and implement kidsLINK staff trainings and other professional development events for kidsLINK staff.

General Administrative

  • Manage front desk coverage and support general office duties; manage inventory and distribution of program and office materials within budget guidelines.
  • Serve as administrative support in day-to-day operations. Offer support drafting correspondence, scheduling meetings, preparing agendas, gathering materials, room and meeting preparation, sending updates and notices, taking minutes, sending meeting follow-ups, and coordinating travel arrangements.
  • Answer phones and door, assist callers/visitors with information & referral, generate correspondence
  • Assist with Community Investment process (United Way funding application process and grants allocations)
  • Foster innovation and creativity by encouraging new ways of thinking and working, sharing best or promising practices from others, and establishing a safe environment for risk-taking.

Required Qualifications, Skills, and Characteristics

  • Minimum Qualifications: 2 years minimum experience working in a professional office as an office manager or administrative assistant. Bachelor’s Degree preferred. Previous non-profit experience preferred.
  • Desired Personal Skills and Characteristics: Excellent written and verbal communication skills; Friendly, team-oriented, and flexible; Professional demeanor, dependable, and punctual; Self-motivated and energetic; Strong project management skills; Organized and detail-oriented; Accuracy in documentation and filing; Ability to handle multiple complex tasks simultaneously; Able to work well in a fast-paced environment; Able to work independently; Experience in meeting facilitation; Capable of working with diverse populations and organizations; Able to lift and carry at least 15 pounds; Must have own transportation;
  • Computer / Software Skills: Proficiency in typing and data entry; Proficiency in Microsoft Word, Excel, and Outlook.

Job Type: Full-time

Pay: $45,000.00 - $50,000.00 per year
