About Us: Gray’s Heating Oil is a retail oil and propane company, offering deliveries, service and installation of heating equipment.

Position Overview: We are currently seeking a detail-oriented and organized individual to join our team as an Oil Company Clerk. The ideal candidate will assist in various administrative tasks to ensure the efficient operation of our oil company's office.

Key Responsibilities:

  • Daily tracking of truck inventory, driver paperwork, and mileage information. Regular audits to ensure timely and accurate submission of data to corporate accounting.
  • Courteously engages with customers via phone and email to assist with placing orders online, answering account related questions, or resolving customer problems.
  • Strong organization skills are needed to ensure every detailed solution is communicated effectively to customers in a timely manner.
  • Perform general clerical duties, including photocopying, scanning, faxing, and filing documents as well as light housekeeping.
  • Maintain accurate records and databases related to inventory, shipments, invoices, and other administrative tasks.
  • Assist in processing purchase orders, invoices, and expense reports.
  • Coordinate with external vendors to ensure timely completion of tasks.
  • Handle incoming calls, emails, and inquiries from customers, suppliers, and other stakeholders.
  • Provides support and assistance to drivers during their scheduled delivery route. Monitors all drivers progress in completing routes and partners with drivers to help resolve any delivery issues or changes made to scheduled deliveries.
  • Provide driver dispatching
  • Assist in preparing reports for management as needed.
  • Uphold company policies and procedures to ensure compliance with industry regulations and standards.

Qualifications:

  • Associates degree at minimum required
  • Previous experience in a clerical or administrative role, preferably in the oil and gas industry.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other relevant software applications.
  • Excellent organizational skills with the ability to multitask and prioritize workload effectively.
  • Strong attention to detail and accuracy in data entry and record-keeping.
  • Effective communication skills, both verbal and written.
  • Ability to work independently with minimal supervision and as part of a team.
  • Commitment to upholding confidentiality and handling sensitive information with discretion.
