The Grand Traverse Regional Land Conservancy seeks an organized, independent, and driven individual with excellent communication skills to strengthen our Business Operations team. Working interdependently across teams, the Business Operations Manager will oversee the organization's operating needs, support staff members, and maintain compliance with the conservancy's policies and procedures. This person will work directly to support the work of the Director of Finance and oversee administrative staff and volunteers at the Conservation Center.

Salary Range: $51,744 - $72,442
Position Objective:
The Business Operations Manager is responsible for implementing and identifying business operations duties that support all Conservancy departments and achieve the Conservancy’s mission. The Business Operations Manager will manage the accounts payable and payroll process. This position oversees and coordinates the work of the Conservation Center Coordinator, Gift Processing, Data Entry staff, and other administrative personnel in concert with the Director of Finance and Administration. They will work to maintain high data integrity in the Conservancy’s databases. The Business Operations Manager will ensure compliance with policies and procedures related to the organization's operating needs, maintain office equipment and supplies, and Liaise with the Director of Finance and Administration. This person will work with a diverse group of stakeholders and approach each opportunity as one that builds or deepens relationships.
Essential Duties and Responsibilities:
· The position objective for the Business Operations Manager is to implement administrative duties that support the organization and achieve the Conservancy's mission
· Oversee and coordinate the work of the Conservation Center Coordinator, Gift Processing, and Data Entry position, staff, and any other administrative personnel
· Ensure that all front-of-house interactions with volunteers, supporters, and guests are professional, friendly, and responsive [including in person and by telephone]
· Oversee daily processing of outgoing mail, including donor correspondence, and maintain the postage meter, including the purchase of postage and stamps
· Manage office vendor relationships, including verification of vendor information for accuracy and W-9 requests. Prepare and distribute Vendor 1099 forms annually
· Maintain the office equipment and arrange for repairs or replacements as needed. Work with the Conservation Center Coordinator to manage an adequate inventory of office supplies by using the administrative program budget as a tool
· Manage and track the business operations budget with the Director of Finance and Administration, processing bi-weekly payroll for GTRLC, which includes HSA and payroll tax payments, maintaining petty cash, verifying the accuracy of incoming bills, processing, mailing, and recording bill payment documents, processing credit card and EFT transactions, verifying vendor information, and managing record retention and disposal
· Liaise with the Director of Finance and Administration to reconcile accounting software (SAGE) to SalesForce for donations, grants, and pledge balances. Also, align SAGE and SalesForce with bank activity to ensure all three databases agree. The annual financial audit and other tasks as directed.
· Ensure office activities comply with the organization’s policies, procedures, and legal requirements. Responsible for human resources tasks for new and existing employees, such as posting new positions, scheduling interviews, preparing documents for the interview process and new hires, and enrolling and unrolling employees from insurance and credit cards, as needed
· Maintain compliance with labor laws posters. Maintain and annually update the Disaster Recovery Plan – a collaborative process with the Director of Facilities and Insured Risk, Manager of Information Technology Salesforce Systems, and Risk Analysis, and other identified staff
· Assist the Communication Team in receiving and shipping Conservancy merchandise orders to our supporters via Shopify
· Annually file Conservancy License to Solicit for all required states
· Handle any office-related issues or emergencies in a timely and professional manner. Oversee the maintenance of staff information lists, cleaning schedules, and other communication to maintain our office
· Oversee and set the direction for the Business Operations volunteer program. Supervise the Conservation Center Coordinator to facilitate day-to-day volunteer participation and organization.
Will be required to perform other duties as requested, directed, or assigned.
Work Environment:
This position generally requires Monday through Friday availability from 9:00 am to 5:00 pm, with occasional evening or weekend events.
Physical Factors:
Most essential duties are performed indoors, with occasional outdoor activities involving moderate physical exertion, such as hiking in different weather conditions.
Education and Experience:
The ideal candidate will have a bachelor’s degree in business administration or a related field, at least three years of office management experience or an associate's degree, five years of office management experience, and excellent communication and leadership skills.
