Grand Rapids Ophthalmology is Hiring a Surgical Coordinator - Scheduling Near Grandville, MI

Job Title: Surgical Coordinator

Reports To: Clinical Manager or Clinic Manager depending on the practice

FLSA Status: Non-Exempt

SUMMARY

Responsible for all surgical scheduling and related patient counseling. Provide the insurance billing department information to properly bill the patients surgery.

Demonstrates quality patient service during interactions with patients, coworkers, and vendors:

  • Exhibits a positive attitude and is flexible in accepting work assignments and priorities
  • Meets attendance and tardiness expectations
  • Is dependable; follows policies and procedures
  • Maintains professionalism in interactions with patients and coworkers
  • Performs quality work and consistently exhibits initiative

ESSENTIAL DUTIES AND RESPONSIBILITIES

Coordinate all aspects of surgery scheduling including:

    • Meet with patient and family to schedule surgery and any necessary preoperative testing and post-operative visits.
    • Arrange any necessary transportation, as needed.
    • Provide pre-and post-operative instructions to patient.
    • Answer patient and family inquiries and make arrangements necessary to alleviate any anxiety experienced by the patient.

Prepare all necessary paperwork including:

    • Complete all forms as required by practice or outside facility where the patient is being scheduled for the procedure guidelines.
    • Secure and witness signed CVP approved consent forms. Understand the definition and guidelines of the informed consent process.
    • Provide surgical schedule to appropriate persons.
    • Obtain Durable Power of Attorney (DPOA) information and documents as indicated.

Assist to optimize surgical reimbursement including:

    • Confirm insurance/billing information is correct.
    • Obtain pre-certification from insurance carriers.
    • Communicate as necessary with the patient accounts department.
    • Arrange financial counseling with Financial Counselor for self-pay patients or those patients incurring out-of-pocket expenses.
    • Communicate with the credentialing department on non-contracted carriers or out-of-state patients.
    • Follow all policies and procedures as outlined for surgery scheduling per surgical facility policy and procedure manual.
    • Maintain the surgeons surgical calendar and appropriately notify all individuals with need to know of schedule changes/cancellations/surgeon out time.
    • Other duties as assigned.

EDUCATION AND/OR EXPERIENCE

  • High school graduate.
  • Associate degree or medical education helpful.
  • Medical office experience with previous direct patient contact preferred.
  • Customer service background required.
  • Basic ophthalmic and or medical terminology experience helpful with good telephone skills.
