Description

POSITION PURPOSE

The Part-Time Spa Supervisor is to communicate with clients and assist them with choosing and scheduling spa treatments; close all service and retail transactions properly; maintain a clean and beautiful spa boutique and facility.

Purchasing Duties: maintain adequate inventories of retail and professional products and supplies; procurement of new and innovative retail products; manage the sell-through process of merchandise; support the retail sales success of service providers and estheticians.

ESSENTIAL FUNCTIONS

  1. Scope of Position and Responsibility Spa Supervisor
  1. Provide stellar customer service in a fast paced environment.
  2. Manage a three-line phone system using exceptional phone etiquette.
  3. Assist clients with retail purchases and make spa sales recommendations.
  4. Handle cash, check, room charge and credit card transactions accurately using Spa Soft software and a basic cash register.
  5. Accurately schedule spa service appointments using Spa Soft software.
  6. Accurately enter client data using Spa Soft software.
  7. Responsible for the opening and closing operations for the front desk area and the spa facility.
  8. Manage the daily flow of clients in the spa - be aware of who is in the spa at all times, what services they are scheduled for and that we are all meeting client expectations.
  9. Diffuse unexpected situations or problems pertaining to scheduling errors, cancelled appointments and equipment malfunctions.
  10. Handle customer complaints with care and consideration and provide an appropriate remedy for each situation as needed.
  11. Assist the spa supervisor and spa director with general administrative tasks.
  12. Maintain the cleanliness and order of the front desk, spa boutique, locker rooms and guest relaxation rooms.
  13. Prepare written correspondence through word processing and email formats with guests and for internal communications.
  14. Restock and count physical inventories for the spa boutique.
  15. Communicate and interact with all levels of staff.
  16. Moderate use of Microsoft Outlook, Excel and Word programs.
  17. Heavy use of Spa Soft spa management software.
  18. Coordinate daily operations with other concierge staff and spa departments.
  19. Coordinate and schedule repair and maintenance services and communicate with vendors as needed, with the approval of the spa director.
  1. Scope of Position and Responsibility Purchasing Manager
  1. Responsible for physical inventory counts and adjustments on a weekly basis and at month end.
  2. Responsible for ordering retail and professional products and supplies based on projected needs and historical data.
  3. Actively monitor vendor promotions and discount offers and time orders to take advantage of cost savings when available.
  4. Responsible for receiving shipments accurately based on purchase orders, packing slips and final invoices; forward all final invoices to spa director for payment processing.
  5. Price and display retail product in a timely manner after shipments are received.
  6. Responsible for organizing and maintaining inventory storage.
  7. Manage the sell-through process of existing and newly introduced retail items.
  8. Create and implement sales promotions to stimulate retail sales; educate and train service providers on sales promotions; communicate goals effectively to all staff involved in promotions.
  1. Assist spa director with indentifying and procuring new and innovative retail products which compliment and reinforce the spas brand.
  2. Responsible for attractive merchandising of retail products to appeal to shoppers.
  3. Responsible for boutique cleanliness and product displays.

Regular attendance in conformance with the standards, which may be established from time to time, is essential to the successful performance of this position. Employees with irregular attendance will be subject to disciplinary action, up to and including termination of employment.

Due to the cyclical nature of the hospitality industry, employees may be required to work varying schedules to reflect the business needs of the hotel. In addition, attendance at all scheduled training sessions and meetings is required.

Upon employment, all employees are required to fully comply with Westin/Sheraton Carlsbad Resort & Spa rules and regulations for the safe and effective operation of the hotels facilities. Employees who violate hotel rules and regulations will be subject to disciplinary action, up to and including termination of employment.

SUPPORTIVE FUNCTIONS

In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions, with the percentage of time performing each function to be solely determined by the manager based upon the particular requirements of the hotel:

  • Any other tasks or duties as assigned by Hotel Management.

SPECIFIC JOB KNOWLEDGE, SKILLS AND ABILITIES

The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of knowledge, skills, and abilities:

  • Minimum of 2 years receptionist and/or concierge experience, strongly preferred in a spa, salon or hotel setting.
  • Purchasing and/or inventory management experience in a spa, salon or hotel setting strongly preferred.
  • Requires working knowledge of phone systems and ability to handle high volume phone lines with exceptional, professional etiquette.
  • Basic knowledge of MS Outlook, Word and Excel, internet and email functions.
  • Highly organized with exceptional attention to detail and ability to proof all work.
  • Outstanding customer service skills and active listening skills.
  • Ability to effectively communicate and interact with all levels of staff.
  • Sound problem solving and decision making skills.
  • Capable of working independently as well as part of a team.
  • Ability to multi task while remaining calm and collected.
  • Professional demeanor and appearance.

Physical Demands

  • Most work tasks are performed indoors. Temperature is moderate and controlled by resort environmental systems.
  • Must be able to sit at a desk for up to 8 hours per day. Walking and standing are occasionally required. Length of time of these tasks may vary from day to day and task to task.
  • Must be able to lift up to 50 lbs. occasionally.
  • Requires grasping, writing, standing, sitting, walking, repetitive motions, listening and hearing ability and visual acuity.
  • Talking and hearing occur continuously in the process of communicating with guests, supervisors and subordinates.
  • Vision occurs continuously with the most common visual functions being those of near vision and depth perception.
  • Ability to work primarily with fingers to pick, pinch, type and carry out substantial movements (motions) of the wrists and hands as well.
  • Must have finger dexterity to be able to operate office equipment such as computers, printers, 10-key adding machine, electric typewriter, multi-line touch tone phone, filing cabinets, FAX machines, photocopiers, dolly and other office equipment as needed.

QUALIFICATION STANDARDS

Education

High school or equivalent education required.

Experience

  • Must be able to work a flexible schedule that includes availability for weekend and closing shifts (a typical closing shift ends between 6:30pm 8:30pm.)
  • Must be available to work a schedule that ranges from 15 hours to 40 hours per week.
  • Must be available to work busy holidays.
  • Must be reliable and have a positive attitude.
  • Must be available to attend monthly staff meetings.
