We are in search of a Reservations Coordinator to join our Sales of our 1,300 acre Grand Geneva Resort & Spa in Lake Geneva, Wisconsin.

About the role
The Group Rooms Coordinator will oversee the reservation and allocation of rooms for group guests. They also handle special requests and provide customer service to our internal associates.
They are also responsible for administering the operational and system processes for coordinating group arrival and departure.
They work closely with the sales managers, event managers, front desk, and other hotel departments to provide quality service
What will you be doing?
Enter group rooming lists, make changes / cancellations to reservations
Respond and follow through quickly and efficiently on all emails and phone calls
Ensure guest satisfaction by coordinating with the front office / housekeeping
Attend weekly group forecast meeting to discuss cut-off dates and group pick up
Follow up and monitor group cut-off dates
Performing administrative and inventory work
Ensuring that guests are provided with required types of rooms, facilities, and services
Resolving disputes by recommending and giving the possible solutions
Ensuring billing information, deposits and VIP informationare accurate
Maintaining an accurate filing system for groups and ensuring that each group block is traced
Entering, modifying and updating group block information in the system to ensure inventory, stay dates, cancellation policy, deposit requirement, and booking procedure are reflected correctly
Provide accurate information for group guests by working closely and foreseeing the needs of the call-center.

What do you bring to the role?
High School Diploma or GED preferred
Able to read, write and communicate in English
Prior experience in Rooms, Front Desk or Reservations preferred
Ability to access and accurately input information using various computer systems
Work well with other departments and be flexible with changes
Must be able to self-manage time and prioritize work to ensure timely completion
Ability to make decision that are in the best interest of the property and our guest
Must work well under pressure
