Position: Administrative Coordinator

Reports to: Executive Director

SUMMARY DESCRIPTION:

Operate office communications between calendars and work alongside the Director of Operations in daily office duties. Curate an engaging and informative social media platform for the Museum. Develop and organize information management systems for volunteers, donors, development, museum information, and fundraising.

DUTIES & RESPONSIBILITIES: The duties and responsibilities described here pertain to this specific position. In addition, duties may include any that the immediate supervisor deems necessary. This list is not all inclusive and may be expanded at any time by the Grand Forks Children’s Museum. This list does NOT create an employment contract, implied or otherwise, other than an “at will” employment relationship.

Donor Database Management

The administrative coordinator will have primary responsibility for managing the museums donor database, ensuring efficiency and timeliness in processing donations and donor information and the development of best practices and protocols to ensure data integrity.

This position will:

  • Manage all gift processing, receipts, pledge reminders and send all acknowledgement letters;
  • Develop data standards and procedures as well as user guides for the system;
  • Create and maintain all giving forms and pledge templates;
  • Work with finance in the monthly reconciliation of donations and pledge payments;
  • Create, maintain and execute queries and reports for fundraising, finance, and the Board;
  • Manage the electronic payments and online donations generated through the software;
  • Generate mailing lists for newsletters and other mass mailings;
  • In general, act as the subject matter expert and resources for all types of donor gifts Marketing and Fundraising support
  • Work with fundraising team to produce meeting material and presentations
  • Handle any follow-up information requests from donor meetings;
  • Ensure museum website is up to date with most recent fundraising and development efforts;
  • Coordinate and place social media posts;
  • Handle press release material and web and media placements Administrative Duties
  • Administer the museum database for documents and records with the Microsoft system
  • Keep and overall calendar for all fundraising and community engagement events
  • Review and respond to all emails that comes into the organization’s general email address
  • Handle volunteer and other information inquiries from the public
  • Ensure the overall functioning of the daily processes of running the museum office. OVERALL REQUIREMENT
  • Proven ability to manage and handle software database systems with CRM systems a plus
  • Strong attention to detail and accuracy
  • Proficient with Microsoft Office and database filing systems
  • Organized, timely and responsive to deadlines
  • Strong interpersonal skills and the ability to work with the general public
  • Excellent communication and writing skills
  • Enthusiasm and passion for the project of building the museum
