The Office Clerk II Child Support is responsible for maintaining clerical services to the Child Support programs. This position provides a variety of office assistant duties, under general supervision, to support Child Support Program Specialists and other staff in the Child Support Agency.
RESPONSIBILITY LEVEL:
Responsible for maintaining clerical services to the Child Support programs. This position provides a variety of office assistant duties, under general supervision, to support Child Support Program Specialists and other staff in the Child Support Agency. Responsibilities include general clerical duties, including filing, scanning, mailings and procurement of supplies. Understand and abide by policies, procedures and programs. Typically works on projects and tasks that span 1 day – 3 months.
PRINCIPLE DUTIES:
1. Maintain day-to-day mail operations for the Child Support agency; disseminating mail to workers via physical or electronic means.
2. Receive court bag and process contents appropriately via scanning, dissemination and/or electronic delivery.
3. Receive deliveries and packages for the Child Support program and route within department as appropriate.
4. Prepare and scan Child Support and court documents into electronic filing system and/or LaserFiche and appropriately index documents to be retrieved by Child Support staff.
5. Verify scanned documents are readable and placed in the appropriate electronic case file.
6. Maintain, order and update forms and informational materials used by agency (i.e. brochures, forms, flyers, etc.).
7. Accurately perform data entry and update information related to the programs.
8. Maintain multiple filing systems, both electronic and physical, and keep them updated and current.
9. Utilize various state and federal computer systems, data bases and reports as required to complete daily activities.
10. Operate a variety of office machinery to perform necessary functions of position, including computer, copy machines, multi-function devices, fax machine, etc.
11. Operate copy machines, make copies, collate, and distribute as necessary.
12. Assist Court Clerks with activities related to Child Support in the courtroom as necessary (i.e. copies, runner, etc.)
13. Monitor and order supplies with appropriate approvals.
14. Prepare cases weekly to be sent by courier to deliver summons and other court paperwork.
15. Prepare reports for Kenosha County on a monthly, quarterly, and yearly basis as assigned.
16. Maintain standards of confidentiality.
17. Maintain a safe, orderly, and professional work environment following outlined practices.
18. Perform other appropriate duties as assigned.
REQUIREMENTS:
1. Minimum high school graduate or equivalent is required. Two years related experience preferred.
3. Valid driver’s license and access to an insured vehicle for use in the performance of the job functions.
4. Ability to communicate effectively both in written and verbally.
5. Knowledge of Microsoft Office, including Word, Excel and Outlook.

3. Ability to work and communicate effectively with employees, the public, and a variety of professionals in professional and cooperative manner.

5. Ability to work in multiple computer systems and databases simultaneously.
4. Demonstrated ability to follow oral and written instructions.
PHYSICAL/SENSORY DEMANDS:
Ability to sit and/or stand for long periods of time at work-station. Ability to manipulate computer, keyboards and telephones. Repetitive use of hands is required in the form of fine manipulations while using computer, keyboards and switchboard. Ability to speak clearly and hear well in order to effectively use communications equipment. Ability to move throughout office areas. Ability to stand, walk, squat, bend, twist, kneel and reach above shoulders. Ability to lift 25 pounds.
