GENERAL DESCRIPTION: Perform all assigned payroll functions. Act as the subject matter expert on payroll functions and software, employee leave, policies, and benefits; ensuring compliance.

ESSENTIAL JOB FUNCTIONS: (NOTE: Qualified persons with disabilities are encouraged to apply. Reasonable accommodation will be made.)

  • Manage Paycom payroll system and electronic timekeeping system. Prepare and ensure payroll input/output accuracy. Submit payroll to Paycom to meet Paycom's processing deadlines.
  • Process and track time off needed for leaves such as workman’s comp., FMLA, and Disability. Communicate with employees about terms associated with the requested leave. Ensure managers are kept apprised of absence and return to work dates.
  • Assist employees with Benefits questions and provide information on usage and contact information for providers.
  • Ensure system is updated with annual benefit information at the start of each plan year, to ensure accurate payroll deductions.
  • 403B- Ensure eligible employees are enrolled, unless they choose to opt out.
    • Payroll deducted contributions and employer match is processed with each pay period.
    • Responsible for distribution requests for employees (past and present) by obtaining required paperwork, signatures, and sending off for processing.
    • Conducts periodic audits to ensure compliance.
  • Coordinate return checks activities.
  • Continually seek ways to enhance use of the Paycom system to achieve maximum efficiency.
  • Review benefit insurance invoices (LTD, STD, medical, vision, etc.) for accuracy and resolve discrepancies and process invoices
  • Verify information on W-2s and 1095-Cs. Prepare Multi-Site Report quarterly.
  • Generate and distribute timely routine standard managers’ reports (i.e. overtime and turnover reports) or other reporting upon request.
  • Complete employment verifications and unemployment claims.
  • Train managers and employees on Paycom regarding how hours worked are recorded and approved.
  • Assist with scanning of personnel documents into electronic personnel files.
  • Maintain SDS books for all locations.
  • Prepare census reports for the 403B and workers compensation insurance annually.
  • Cover receptionist desk/phone for break times as assigned or to fill in for absences.
  • Timely arrival at the workplace and consistent attendance.
  • Perform other related duties as requested.

EDUCATION, TRAINING AND EXPERIENCE:

1. Previous payroll experience is required.

2. Must possess strong computer skills with windows operating system, Excel, and Human Resource Information Systems.

3. Knowledge and operation of a variety of office machines.

4. Strong organizational skills.

5. Post-high school education.

PHYSICAL REQUIREMENTS OF THE ESSENTIAL JOB FUNCTIONS:

1. Ability to communicate in spoken conversation and have normal hearing for conversation, telephone use and emergency information systems.

2. Visual acuity, depth perception and field of vision within normal range.

2. Adequate individual coping skills.
