Job Title: Office Manager - Oil and Gas Company - Gold Stone Energy, LLC

Overview: We are seeking a dynamic and organized Office Manager to oversee administrative operations and support functions for our oil and gas company. The Office Manager will play a key role in ensuring the smooth and efficient operation of our office environment, managing administrative staff, and coordinating various tasks and projects to support the company's operations. This position requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.

Responsibilities:

  • Manage day-to-day administrative operations of the office, including reception duties, mail distribution, supply inventory, and facilities management.
  • Supervise and provide guidance to administrative staff, including receptionists, administrative assistants, and clerical personnel, assigning tasks and monitoring performance.
  • Coordinate office activities and schedules, including meetings, conferences, and events, ensuring that all logistical arrangements are in place and executed smoothly.
  • Serve as the primary point of contact for internal and external stakeholders, handling inquiries, requests, and correspondence in a professional and timely manner.
  • Maintain office policies, procedures, and guidelines, ensuring compliance with company standards and regulatory requirements.
  • Assist with human resources functions, including new employee onboarding, payroll processing, benefits administration, and performance management.
  • Manage vendor relationships and contracts for office supplies, equipment, and services, negotiating agreements and monitoring service levels and costs.
  • Prepare and maintain financial records and reports, including expense reports, budget tracking, and invoicing, in collaboration with the finance department.
  • Coordinate travel arrangements and accommodations for company executives and staff, including flight bookings, hotel reservations, and transportation logistics.
  • Support special projects and initiatives as assigned by senior management, providing administrative assistance and logistical support as needed.

Qualifications:

  • Bachelor's degree in Business Administration, Office Management, or a related field is preferred but not required.
  • Proven experience working in office administration or management roles, preferably in the oil and gas industry or a related field.
  • Strong organizational skills and attention to detail, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with employees, clients, and vendors at all levels of the organization.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office productivity software.
  • Familiarity with office equipment and systems, including phone systems, copiers, printers, and video conferencing technology.
  • Ability to maintain confidentiality and handle sensitive information with discretion and integrity.
  • Problem-solving abilities and a proactive approach to addressing issues and challenges in the office environment.
  • Leadership qualities with the ability to motivate and inspire administrative staff and foster a positive and collaborative work culture.
  • Flexibility and adaptability to changing priorities and business needs in a dynamic and fast-paced environment.
