Organizational Background

Global Labor Justice - International Labor Rights Forum (GLJ-ILRF) brings strategic capacity to cross-sectoral work on global value chains, capital markets, and labor migration corridors. GLJ-ILRF holds global corporations accountable for labor rights violations in their supply chains; advances policies and laws that protect decent work and just migration; and strengthens freedom of association, new forms of bargaining, and worker organizations.

Position Summary

The Office Administration and Logistics Associate is responsible for a variety of functions that ensure the smooth daily operations of the organization. GLJ-ILRF is a growing organization with a small office in Washington, DC and staff around the world working remotely. The Office Administration and Logistics Associate supports all the organization’s staff, events and activities that take place virtually and in person.

Key Responsibilities

The Operations and Logistics Associate’s core responsibilities include:

Office Management

  • Open and close the office Monday through Friday, generally from 9:00 am Est - 5 pm Est with some flexibility as needed and ensure that the space is fully functional.
  • Manage organizational printing requests.
  • Manage the organizational calendar, email, and slack.
  • Managing the office phone and responding to external inquiries about organizational operations.
  • Manage incoming and outgoing mail and provide logistical and administrative support to other departments, as required.
  • Oversee office and building maintenance and repair, including providing logistical support and handling office supplies and furniture.
  • Review and update the GLJ-ILRF Office Guide, as needed.
  • Schedule the conference room, maintain the conference room calendar and support staff with setting up conference calls.
  • Coordinate support for office technology with the COO; serve as on-site IT point person to address urgent IT issues.
  • Prepare the office space for meetings and events.
  • Manage organizational printing requests.

Travel Planning and Logistics

  • Make travel arrangements for domestic and international trips such as flights, lodging, and other transportation arrangements for staff and partners.
  • Support staff and partners with obtaining travel visas.
  • Coordinate delegation logistics such as organizing virtual or in person meeting spaces, interpretation, and meals.
  • Arrange logistics for retreats and other major organizational events.
  • Coordinate board travel and logistics.

Events

  • Support logistics, technology, and interpretation for major program events consistent with policies and standards set by the COO and program staff.
  • Support the Development staff on major development events, including the annual Labor Rights Defenders’ celebration.

Qualifications:

The ideal candidate will have a commitment to provide consistent and high-quality support to create and maintain a strong organizational structure aimed at combatting inequity in the global economy by defending worker rights and building worker power.

Additionally, the ideal candidate will have the following qualifications:

  • Experience managing office operations and travel logistics required.
  • Experience with basic technology used in the office including Word, Slack, and Zoom.
  • Proven ability to manage a high volume of work with efficiency and precision; able to juggle competing demands and prioritize with high attention to detail.
  • Demonstrated problem-solving approach with a strong sense of ownership and resilience; proactively manages work and finds alternatives when faced with roadblocks.
  • Strong written and verbal communication skills.
  • Ability and willingness to work in and contribute to the development of a growing international organization where systems and process are being developed and staff must be self-motivated and creative to meet evolving needs.
  • The ability to work some nontraditional hours to accommodate staff support in different time zones.
  • Sense of humor to maintain perspective and balance.
  • Bilingual, bicultural experience a plus.
  • Higher level web and digital skills a plus.
  • Experience working at a union or grassroots organization is a plus

Job status: Full-time, exempt, member of IFPTE Local 70 Bargaining Unit

Salary Range: $65,000-$75,000 USD salary for U.S. employees depending on qualifications and experience. GLJ-ILRF offers excellent benefits including full healthcare coverage for employee and family members.

Supervisor: Chief Financial Officer

Location: Washington, D.C. This job requires at least four days a week of work in the GLJ-ILRF Office.
