POSITION TITLE: Athena Training and Clinical Workflow Specialist

RESPONSIBLE TO: Health Information Management Director

DEPARTMENT/SITE: Administration

STATUS: Non-Exempt/Hourly

This position will facilitate both in-person and webinar-based training programs for providers and GLBHC staff using a variety of tools including Zoom, Webex, Jabber and Teams meetings. The trainings set GLBHC up for success using Athena, the electronic health record and other integrated software systems through utilization of adult learning theories. The Training and Clinical Workflow Specialist emphasizes Best Practice workflows and operationalizes population health initiatives. In addition, the Clinical workflow Specialist will serve as a resource to colleagues in a workflow expert capacity and will implement learner assessments that inform training curriculum and areas of focus.

  • Delivers pre-live and post-live training to physicians, providers, and support staff on the EHR and practice management procedures, focusing on efficiency, delegation, and population health initiatives.
  • Monitors trained staff to ensure proper use of the system and provides ongoing training sessions on EHR workflows as needed, filling in training gaps that were historically filled by other staff.
  • Acts as a liaison and system resource to all end users, providing daily support for EHR applications through troubleshooting, coaching, and consulting of general procedures. Recommends and implements changes or improvements as necessary.
  • Develops agenda and supporting materials for EHR procedures, including but not limited to presentations, handouts, videos, training aids, paper, and web-based systems documentation.
  • Under direction of the HIM Director, identifies issues with, and develops and maintains best practice workflows for, EHR functions, consulting with Director of Support Services and the Director of Training and Clinical Workforce Development as needed.
  • Creates and/or revises policies or procedures to support EHR workflows.
  • Creates training documentation and schedules for training on any new software implementations related to the EHR, functioning as the point person for rollouts.
  • Works collaboratively with a variety of users, managers, clinical teams, and vendors to assist in developing and maintaining the training program.
  • Participates in educational and leadership opportunities to enhance professional growth and clinical expertise.
  • Maintains all appropriate documentation and reports, including training acknowledgements, worksheets, competencies, incident reports and maintains a record of software modules/add-ons that enhance functionality.
  • Observes users in their work environment, working with Site Managers to identify areas for improvement and suggestions to help users get back on track.
  • Monitors EHR related support tickets and assists with finding resolutions. Assesses and troubleshoots user-reported problems in a timely manner; decides which issues need to be elevated to the HIM Director and/or Information Technology.
  • Will provide input for Key Performance Indicators related to the EHR and implement strategies to achieve those goals.
  • Will participate in all EHR and Form Development committees. 

1.Education: Bachelor’s degree in education, or a health-care related field strongly preferred, or equivalent experience in a similar role. 

2.Licensure: Not required

3. Experience: Previous experience with Athena preferred. 2 – 3 years’ EHR training preferred.

4.Skills: Knowledge in medical terminology, proficient in Word, Excel and Powerpoint.

5.Interpersonal Skills: Excellent communication, organizational and time management skills. Strong interpersonal skills to positively interact with a variety of personnel within teams and across organizational lines. Ability to work in a fast paced and changing work environment.

6.Physical Effort: Minimal

7.Hours: Full time: flexible and varied. Evening hours may be required. Regular and timely attendance required. Need to be available for in-person trainings and meetings. May be able to work a combination of in-person and remote work depending on the task.

8.Travel: May be required. If needed, reimbursement for expenses is consistent with GLBHC policy.
