POSITION TITLE: Assistant Director of The Gilman Fund
DEPARTMENT: Advancement
SUPERVISOR: Director of Leadership Giving
STATUS: Full Time (37.5 hours a week)
FLSA: Exempt (Salaried)
HOURS OF WORK: 8:30 AM – 5:00 PM
CLASSIFICATION: Non-Essential
POSITION SUMMARY: Supports the Director of the Gilman Fund and the Director of Leadership Giving to grow the Annual Fund, both in terms of dollars raised and participation. ESSENTIAL RESPONSIBILITIES:
Works with the Director of The Gilman Fund and the Director of Leadership Giving to develop and implement strategic plans to maximize dollars for all facets of Gilman’s robust annual giving program. Responsibilities include calendar planning, volunteer identification/recruitment, appeal writing, direct solicitation and closure of gifts, management of the acknowledgment process, and involvement in annual giving stewardship activities. Assists the annual giving team as needed to achieve key programmatic goals.
SPECIFIC RESPONSIBILITIES:
Fundraising and Volunteer Management (45%):
Works closely with the Director of The Gilman Fund and Director of Leadership Giving to plan, implement, and evaluate the School’s Alumni Giving and Reunion Giving programs.
Assists with solicitation letters and other written and electronic communications to constituents.
Monitors trends, identifies areas of opportunity, and periodically reports on the progress of Alumni Giving and Reunion Giving programs.
Personally solicits gifts from donors when appropriate.
Manages a portfolio of prospective donors that could include those in a Reunion effort.
Makes the discovery, cultivation, solicitation, and stewardship visits necessary to meet stated fundraising goals.
Works with Advancement staff to develop and implement creative strategies for continuing annual engagement with donors to The Gilman Fund.
Maintains frequent contact with volunteers and donors through visits and correspondence. Encourages their attendance at key events throughout the year, in addition to Alumni Weekend.
Coordinates with the Director of The Gilman Fund and Director of Leadership Giving to assess reporting needs for all constituencies and develop appropriate reports.
Donor Relations and Stewardship (45%):
Manages and implements the acknowledgment process.
Follows up with donors in a timely manner with personalized thank you letters and/or any other information requested by donors.
Assists with the preparation and production of the Annual Report.
Departmental Support/Other (10%):
Provides support to the Director of The Gilman Fund and the Director of Leadership Giving as needed.
Provides assistance within the Advancement office as needed.
Performs other duties as assigned.
QUALIFICATIONS:
A bachelor’s degree plus a minimum of three years of related work experience; or an equivalent combination of education and experience, preferably in fundraising, education, sales/marketing, and/or public relations.
Excellent interpersonal skills and a commitment to fostering a healthy team culture.
Highly organized and detail-oriented. Motivated and energetic; demonstrates initiative and the ability to work independently.
Strong planning and communication skills, and proven ability to juggle multiple priorities.
Strong computer and technology skills; proficiency with Windows, Microsoft Office, and G Suite products, including Excel and Google Spreadsheets. Experience with Raiser’s Edge/NXT or similar fundraising database is preferred.
