About the Position:

The Fiscal Specialist supports the Budget & Finance Manager with daily financial and business functions, including the processing of procurement transactions, performing financial reconciliations, assisting with budget management as well as other finance-related transactions. This position will also support the Director of Business Strategy, Assistant Vice President for University Life, and other University Life Unit Leaders.

Responsibilities:

  • Assists with processing JV's, budget transfers, stipends' and tuition payments to ensure accurate and timely payments;
  • Provides travel reimbursement support to UL Central office to ensure accurate and timely reimbursements;
  • Assists in HR functions including, hiring students, hourly employees, and university affiliates and processing EPAF's to ensure correct payments and dates of service;
  • Processes spending requests for UL Central, including purchase orders via eVA, reimbursements, and small purchase card transactions according to federal, state, and university policies and procedures ensuring prompt ordering and payment as well as the accuracy of items purchased and fund/orgs charged;
  • Oversees P-card transactions and submits monthly approval for UL central staff to provide support to UL units and ensure accurate and timely processing of purchases;
  • Provides financial assistance to offices within University Life to provide financial support when needed and ensure consistency and accuracy of financial reporting across all units;
  • Analyzes monthly financial conditions of units and identifies anomalies to managers to ensure the accuracy of data and integrity of financial reports;
  • Tracks unit financial activity in conjunction with the Budget & Finance Manager and assists with financial reports as needed to provide support to units and ensure the accuracy of financial transactions;
  • Manages access requests for HR, Banner, eVA, and other forms approved by Banner liaison to ensure appropriate access for employees.;
  • Assists with monthly financial reconciliation process to support Budget and Finance manager to ensure accuracy and appropriateness of all financial transactions in accordance with university policies and deadlines;
  • Ensures accuracy of position budget and labor distributions to support monthly reconciliation process and ensure all positions are fully budgeted;
  • Assists with division financial projects as needed;
  • Assists with the creation of financial reports for the Operations & Planning team;
  • Updates and tracks one-time purchases expense reports to ensure an accurate balance of available central funding; and
  • Runs MicroStrategy reports as needed in support of UL central financial management team.

Required Qualifications:

  • High school diploma or equivalent;
  • Experience in procurement and processing financial transactions;
  • Experience creating spreadsheets with Excel;
  • Experience working independently to accurately achieve on-time objectives;
  • Experience performing work that requires attention to detail;
  • Experience working with and/or supporting diverse stakeholders and communicating in a positive, supportive, and collaborative manner;
  • Demonstrated skill and expertise using Microsoft Office, in particular Microsoft Excel;
  • Knowledge in analyzing financial data, purchasing, and monitoring expenses;
  • Effective written and oral communication skills;
  • Excellent attention to detail and organization skills;
  • Ability to work both independently and with other Budget Managers within University Life; and
  • Demonstrated problem-solving and analytical ability.

Preferred Qualifications:

  • Bachelor’s degree in a related field;
  • Experience working in a higher education setting, particularly with financial responsibilities;
  • Experience using Banner, Small Purchase Cards using Works, purchasing using eVA;
  • Demonstrated experience using Microsoft Office Suite; experience using Teams for collaboration;
  • Experience with monthly financial reconciliation;
  • Experience using MicroStrategy to generate financial and HR reports;
  • Experience processing journal vouchers, labor redistributions and electronic personnel action forms;
  • Experience developing and monitoring budgets;
  • Knowledge of P-Card and travel expense reimbursement processes; and
  • Knowledge of accounting, finance, or business management, preferably in higher education.
