Title: Technology/Federal Programs Secretary/District Eschool Student System Admin 

Supervisor: Technology Personnel/Federal Programs Coordinator/Superintendent or Designee

Contract Length: 245 Days

  • Technology/Federal Programs Secretary
    • Answer the phone
    • Request purchase orders and process invoices for payment for the Technology Department.
    • Process all work orders involving eschool, TAC, HAC and Powerschool.
    • Process all purchases orders, payments and reimbursement requests for qualifying Federal programs/categorical funds expenses.
    • Process all Professional development paperwork to the appropriate personnel.
  • District eschool student system admin
    • set up eschool account, passwords, and manage accounts for faculty, staff, students and parents.
    • support and train faculty, staff, students and parents in eschool
    • attend all state training for eschool and efinance. 
    • Keep staff updated on all changes and provide training when necessary. 
    • Be available to help eschool district users at their onsite campus for eschool when necessary.
    • Prior to all cycle reporting, contact each campus and make sure all necessary information has been entered. When there are errors, look up the information and assist staff in making the corrections.
    • Attend workshop to set up next year’s database in eschool. 
    • Set up and maintain calendars for current year and next year in eschool. This includes updating when necessary for weather or any other reason that might add to the required number of student days. 
    • Maintain eschool user access and resources that allow them to use different modules. Set up new users. Delete users that have left the district. Reset users when they are denied access. Contact the Help Desk in Little Rock for assistance when needed to resolve an issue.
    • Assign new faculty to the teacher catalog and add additional building information for shared teachers.
    • Meet with eschool field rep each summer after cycle 7 report has been submitted to the state to complete the rollover for next year. This moves each student to the next grade, next building and deletes all information that is not necessary to rollover.
    • Available during the summer to assist secretary/registrar with scheduling.
    • District Administrator for Powershool enrollment and Triand.

QUALIFICATIONS

To perform this job successfully, an individual must be able to perform each essential duty mentioned satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

EDUCATION AND EXPERIENCE

High school, plus prefer specialized schooling and/or on the job education in a specific skill area; e.g. data processing, clerical/administrative, equipment operation, etc, plus 5 years related experience and/or training or equivalent combination of education and experience.

COMMUNICATION SKILLS Ability to effectively and professionally communicate information and respond to questions in person-to-person and small group situations with the Board, stakeholders, general public and other employees of the organization.

MATHEMATICAL SKILLS Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to prepare and interpret charts and graphs.

CRITICAL THINKING SKILLS Ability to utilize common sense understanding in order to carry out written, oral or diagrammed instructions. Ability to deal with problems involving several known variables in situations of a routine nature.

PLANNING Considerable responsibility with regard to general assignments in planning time, method, manner, and/or sequence of performance of own work; may also occasionally assist in the planning of work assignments performed by others within a limited area of operation.

USE OF MACHINES, EQUIPMENT AND/OR COMPUTERS

Regular use of desktop/laptop computer and software, phone, fax, etc.

SOFTWARE SKILLS REQUIRED Intermediate: Word Processing/Typing, Alphanumeric Data Entry, electronic file management, Presentation/PowerPoint; Google Drive, Sheets, Docs, Forms, and Slides. Page 3 of 3
