Generations Intergenerational Center is Hiring a Rental Coordinator Near Plymouth, WI

We are looking for a Rental Coordinator that will provide customers with support for all activities throughout the entire rental process and ensures customer satisfaction. Duties will include acquiring and coordinating with rental customers, working with the Operation Manager in coordinating schedules and working with the Director of Dining Services on event catering. This position is responsible for ensuring private events are adequately staffed with paid and/or volunteer staff. Hours may vary, but will include nights and weekends. Individual will be on a call list for emergency situations.

Essential Functions:

  • Respond to phone/email/website inquiries by providing rental contract proposals
  • Follow-up on pending rental contract proposals
  • Answer rental questions, overcome objections, and promote catering services
  • Be available to meet with customers to view the space, discuss set-up requests, answer questions about the contract
  • Sign rental contracts and process rental payments
  • Follow-up with rental customers after the event, providing opportunities for feedback on venue and staff
  • Seek and engage in marketing opportunities
  • Work with Operations Manager on scheduling
  • Make staff aware of upcoming rentals that impact normal operations
  • Ensure rental events are staffed adequately
  • Perform room set up and take down as needed
  • Oversee private events, addressing maintenance and/or janitorial tasks as needed
  • Answer questions about the facility and programming
  • Provides excellent customer service for all members, tenants, visitors, and staff, through professional and timely responsiveness to needs
  • Provides timely and thorough communication, verbal and written with all customers, members, tenants and staff members
  • Complies with all facility and housekeeping procedures
  • Performs recycling and trash removal
  • Clears walks of snow and salts as needed
  • Reports any repairs needed to maintain the building and/or equipment to the Maintenance Supervisor
  • Complies with all facility fire, safety, hazardous waste, and other emergency procedures
  • Other responsibilities as assigned.

MINIMUM QUALIFICATIONS:

Education: Graduation from high school, G.E.D. or its equivalent.

Experience: Two years' event coordination preferred

License/Certification: Valid driver's license.

Interpersonal Skills:

  • Ability to work independently and in a team setting.
  • Ability to interact with diverse personalities in a pleasant and professional manner.
  • Ability to prioritize, anticipate needs, apply critical thinking skills. Ability to follow and give directions both verbal and written.

Physical Requirements: Ability to stand and walk for a majority of the shift. Ability to climb, stoop, kneel, reach and pull, lift and carry up to 50 pounds, including the ability to shovel snow and operate maintenance and grounds equipment.

SPECIAL REQUIREMENTS:

  • This position is designated as "Essential Personnel," which requires that employees report to their job site or be on stand-by, during emergency situations, such as snow, inclement weather, or other emergency situations, including weather and building emergencies.
  • Must be able to satisfactorily undergo a State of Wisconsin records check.

Job Type: Part-time

Pay: $30,000.00 per year

Expected hours: 20 – 30 per week
