Geauga Mechanical is Hiring a Construction Project Administrator Near Chardon, OH

We are in search of a CONSTRUCTION PROJECT ADMINISTRATOR to join our high performing and growing team.

WHAT YOU’LL DO:

· Build and maintain relationships with vendors and subcontractors.

· Negotiate with suppliers and subcontractors after project award and issue purchase orders and subcontracts. Ongoing management of purchase orders and subcontracts throughout construction process.

· Manage, track, and close vendor and subcontractor back charges.

· Ensure subcontractor and vendor insurance is current.

· Request equipment submittals from suppliers, perform internal reviews, coordinate revisions, and log submittal status in Sage Construction Management.

· Notify vendors when to release equipment and where to deliver, track equipment, and monitor delivery status.

· Manage Teamlink Portal in Sage Construction Management.

· Place orders at supply houses for foremen and project managers, including ductwork, piping, and equipment. Ensure adequate stock of sheet metal at all times, and regularly monitor pricing from vendors.

· Coordinate the rental, delivery, and pickup of equipment on construction projects at the direction of project managers. Review and approve monthly invoices throughout project.

· Schedule and prioritize incoming equipment and tool requests from the field to minimize any potential downtime.

· Manage company accounts with supply houses and online vendors. Negotiate strategic agreements detailing level of service including logistics, payment terms, returns, lead times, freight terms, ecommerce abilities, compliance issues, etc.

· Prepare and submit closeout documentation to vendors. Coordinate warranty setup with service department.

· Attend continuing education and professional development classes, conferences, and seminars.

· Manage Main Office Building maintenance and repair, including landscaping, snow plowing, renovations, furniture purchases, and preventative maintenance.

· Construction delivery vehicle management, including coordinating purchase, maintenance, and repair.

· Oversee productivity tracking reporting and ensure completion and communication to team.

WHAT YOU WILL NEED

· Customer service skills to interact professionally and positively with coworkers. vendors, subcontractors, and customers.

· High degree of professionalism, team orientation, and collaborative outlook.

· Flexibility, patience, punctuality, and accountability.

· High school diploma required. Bachelor’s degree in related field is preferred.

· High degree of skill in Excel, Word, Outlook, and Windows. Experience with scheduling and bidding software a plus.

· Knowledge of construction practices and labor costs in construction, plus a good knowledge of the uses and costs of materials.

· Ability to multi-task, including strong organizational skills, and attention to detail.

· Excellent verbal and written communication skills and with a process improvement-oriented mindset.
