The Fleet Admin role is the central point of contact and managing for administrative tasks, maintenance coordination, and transportation logistics. This includes coordinating maintenance schedules, handling billing issues, and transportation logistics administrative tasks, while providing exceptional customer service to internal and external customers.
What you will do:

• Cultivate a positive work environment and positive safety culture in area of responsibility.
• Serve as a primary point of contact for maintenance and transportation regarding administrative inquiries on administrative issues.
• Data entry work using RTA maintenance modules.
• Generate, review, and process invoices for transportation and maintenance services provided to internal departments or external clients.
• Ensure accuracy and completeness of billing documentation, including verifying rates, quantities, and service details.
• Resolve billing discrepancies and disputes in a timely manner, coordinating with internal customers and external parties as needed.
• Maintain accurate records of billing transactions, contracts, and correspondence with third-party haulers and clients.
• Organize and archive billing documentation in compliance with regulatory requirements and company policies.
• Prepare and maintain documentation, including work orders, maintenance logs, and inventory records.
• Assist in the procurement of maintenance supplies, equipment, and parts as needed.

Required:

• Analytical skills and attention to detail to ensure accuracy in billing processes and financial reporting.
• 2 years in an administrative role and/or using billing software, accounting systems, and Microsoft Office applications.
• Effective communication and interpersonal skills, with the ability to interact professionally with internal and external stakeholders.
• Ability to multitask, prioritize workload, and work efficiently in a fast-paced environment.
• Ability to work independently and collaboratively in a fast-paced environment, adapting to changing priorities and deadlines.

Desired:

• Knowledge of trucks/concrete plant components
• Experience with transportation management systems and familiarity with regulatory requirements in the transportation industry is a plus.
• SAP knowledge
• Previous experience in a maintenance shop or transportation environment and its operations.
